About this file

This is a Request for Proposal (RFP) document issued by the Genesee Intermediate School District (GISD) for a Workflow Solution. GISD is seeking bids for a digitized workflow management system capable of handling paper-based workflows, forms, and approvals while maintaining compliance with FERPA and HIPAA regulations. The solution must serve GISD's 997 staff members, 661 contracted staff, and 1,288 students. Proposals are due March 25, 2026, by 12:00 PM EST. The selected pricing will be made available to all schools within Genesee County. The contract term extends through July 31, 2028, with vendors having the option to honor RFP pricing through July 31, 2031.

Vendors must provide transparent, itemized pricing that breaks down costs by licensing, implementation, training, and support without hidden fees, with rates clearly stated per staff member or per student. The RFP requires comprehensive submissions including company background with K-12 education experience, functional specifications such as drag-and-drop workflow builders, conditional logic, role-based routing, mobile responsiveness, and e-signature capabilities. Additionally, vendors must demonstrate integration capabilities with Single Sign-On platforms and educational systems like Synergy and Canvas, data security compliance including SOC 2 and ISO 27001 certifications, real-time reporting and analytics, WCAG 2.1 AA accessibility compliance, and comprehensive implementation support with dedicated account managers and defined support service level agreements. Bidders are expected to provide references from similar educational organizations, preferably Michigan districts or ISDs, along with live or recorded product demonstrations and sandbox environment access for evaluation.
