About this file

This is Addendum 1 to Request for Proposals 26-016-065 for Document Destruction Services issued by Fayette County Public Schools (FCPS) in Georgia. The solicitation seeks proposals for document collection and destruction services across all schools and departments within the District. The service will cover 28 locations including elementary schools, middle schools, high schools, and administrative centers throughout Fayette County, with the LaFayette Educational Center requiring substantially more collection capacity due to housing multiple departments and the Records Center. All locations will be placed on recurring service frequencies to be determined during project kick-off, with provisions for on-call service when locations require collection between scheduled visits due to extraordinary volume. The District indicated responses were due before 9:00 AM (ET) on Friday, January 16, 2026.

The District has no preference between onsite mobile shredding and offsite plant-based shredding, provided services meet DIN 66399 P4 compliance standards, and both methods will be evaluated equally. Pricing structures should be based on per container, per service, and per site rates with the ability to adjust container counts or service configurations quarterly throughout the contract term. Historical volume data has not been tracked as previous service was delivered at no cost to the District; however, the District intends to work with the awarded vendor to determine specific collection point needs and exact service volumes. The District notes that record disposal volumes are determined annually each Spring based on retention schedules and operational needs.

Document Destruction Services for Fayette County Public Schools (RFP 26-016-065)

Addendum 1

1. Is there a list of addresses or the number of bins per location needed?

a. Attached in Appendix A is a list of the locations and addresses that will require regular service. Most locations will only require one (1) collection bin or box, however the LaFayette Educational Center will require substantially more due to the number of departments located within the complex including the Records Center. Having no previous comprehensive/consolidated disposal plan, the District intends to work with the awarded vendor to determine the need and exact area of each collection point(s) for those locations contained in Appendix A.

2. Are all locations placed on a reoccurring frequency and does “on-call” mean an early service is needed?

a. At the beginning of the project all locations will be placed on a recurring frequency determined by the District and the awarded vendor during project kick-off. “On-Call” does mean that a location needs service in-between scheduled visits due to extraordinary volume.

3. Do you have an average estimated volume for the annual project at the records center?

a. No, volumes are determined each Spring based on need and records retention schedules.

4. Can you share any historical or estimated monthly/annual volumes for container placements and pickups by school/department, including the typical mix between scheduled and on‑call service?

a. No, this information has not been tracked as previous service was delivered at no-cost to the District. Each location was stocked with at least one large rolling trash can style bin serviced approximately every two-months.

5. Does the District have a preference between on‑site mobile shredding and off‑site plant‑based shredding, provided DIN 66399 P‑4 is met, or will both be evaluated equally if compliant?

a. No, the District has no preference and both will be evaluated equally if compliant with specifications.

6. Would you prefer pricing structured per container per service, per site, or as a blended monthly rate, and how should pricing account for changes in school count or service frequency over the contract term?

a. The District would prefer pricing structures that are based on per container, per service, per site pricing with the ability to change container count or service configurations every quarter during the contract term.

Responses Due: Before 9:00 AM (ET), Friday, January 16, 2026
