About this file
This is a Questions and Answers document providing clarification on the Air Show VIP Tent Rental solicitation (FA820126Q0006) issued by the Department of the Air Force Materiel Command Air Force Sustainment Center. The requirement involves renting two weather-resistant tents for a three-day event from June 25-28, 2026, with delivery and setup required by 1600 hours on June 25 and teardown by 2000 hours on June 28. The tents will accommodate approximately 200 guests daily each—one for the Commander's Tent and one for the Thunderbirds VIP Tent—located on the flight line at an established site with ample vehicle access for delivery.
The vendor must provide round tables seating 6-8 people each, furnishings including six three-person outdoor wicker couches, twelve one-person wicker outdoor chairs, and six outdoor wooden tables, and round cotton linens in red, white, and blue colors as specified in the Statement of Work. Pricing should be submitted as an itemized breakdown rather than a lump sum. All vendors must obtain appropriate base access visitor information for non-airshow days and submit a Certificate of Insurance prior to the event that covers personal injuries, property damage, advertising liability, and organizer claims based on event size and weather cancellation. Government-furnished services include port-a-johns and hand washing stations. No site access is available prior to June 25, 2026, and no weather contingency plans exist; however, the Government will provide access to the flight line during setup and teardown windows. Past performance documentation is helpful but not required, and evaluation will follow a Lowest Price Technically Acceptable (LPTA) process considering technical acceptability, past performance at similar events, technical approach, and total evaluated price.
