Q&A
1. Q: Clarifica�on, is it 6 video games per kit being delivered to 20 different sites per month or over the course of the 12 months?/Could you provide more informa�on about the an�cipated order volume over the contract period? Addi�onally, while we understand that selec�ons are allowed at least once a month, is there a maximum number of orders per month, per loca�on?
A: 6 video games per kit being delivered to 20 different sites per month
2. Q: Regarding kit des�na�on loca�ons, will kits be shipped from the vendor directly to CONUS / OCONUS / Mixed base library loca�ons? (or) Will all shipments be directly to New York/Los Angeles APO addresses and further processed and/or sub-distributed from there?
A: All addresses will be an US address or an APO (also a US address)
3. Q: Regarding physical game copies, will library patrons be using the games in-library or will these �tles be loaned/borrowed for use elsewhere?
A: These are going to remote sites with no library. No games with code only. Must be able to put game into one of listed game systems for users at the loca�on to use.
4. Q: Regarding development of a catalog/database for browsing and selec�on purposes is there a �me-based requirement to have the system rolled out and on-line?
A: Must be available when contract is signed.
5. Q: Pricing Schedule B: Could you define the Unit Rate? Are you talking about per Library (Base), per video game, etc?
A: A lot is for the shipment in the en�re year. There will be monthly shipments of 6 video games to 20 different sites per month.
6. Q: Are you only looking for physical video games or digital codes or both?
A: No games with code only. Must be able to put game into one of listed game systems for users at the loca�on to use.
7. Q: Can you please clarify the term "Firm-Fixed Price Order" to ensure mutual understanding of the payment structure?
A: A firm-fixed-price contract provides for a price that is not subject to any adjustment on the basis of the contractor’s cost experience in performing the contract.
8. Q: Are there any specific requirements or preferences regarding the packaging of the items?
A: Games are to come in the manufacture’s packaging and sent in a box to each site/loca�on.
9. Q: Regarding older �tles not on the selec�on lists that pose significant difficulty finding new, would used items in like-new condi�on be acceptable, provided all original items such as casing and manuals are included?
A: No used games. All games should be new. We do not want older games only current releases or close to current with approval from VCL.
10. Q: Could you provide details about the shipping des�na�ons and any specific requirements for delivery?
A: All addresses will be an US address or an APO (also a US address)
11. Q: What preferred channels should library partners use to contact us?
A: Customers will not be contac�ng the vendor. Only VCL office will be contacted.
12. Q: How do you prefer to communicate updates, changes, or issues related to orders?
A: All communica�on should be with the VCL office. Monthly email should be sent to VCL to no�fy what is being shipped in the box.
13. Q: Are there any known risks or challenges associated with previous contracts or similar projects that we should be mindful of?
A: No challenges or risks are known at this �me.
