About this file
This is a Questions & Answers document for an Audio/Visual support services requirement for the Mental Health Leadership & Readiness Symposium to be held March 3-7, 2025, at The Florida Hotel & Conference Center in Orlando, Florida. The document addresses technical requirements and logistics for A/V support across two spaces - the Legacy ballroom (250 attendees) and Legends meeting room (50 attendees).
Key details include: classroom-style seating arrangements; HDMI connectivity for government laptops; one dedicated A/V technician required throughout the event; setup access on March 2; daily operations starting at 7:30 AM; two Q&A microphones needed; no special security clearances required; music playback during breaks requested; and three projectors displaying identical content. The previous contractor was CORPX Event Specialist LLC/Honest A/V, who received positive feedback for their performance. The Legends ballroom will be used March 3-6 for approximately 250 attendees, while the Legacy meeting space will host about 50 attendees, with reduced equipment needs on March 7. The A/V contractor is not required to coordinate with the venue's in-house A/V team.

Questions Received for the AV Support for Mental Health Leadership & Readiness Symposium BPA
1. Room Configurations and Layouts
· Will all AV setups be in one ballroom, or will there be multiple rooms requiring separate setups?
Only legacy ballroom and Legends meeting room will need AV services. No breakout/separate rooms will require AV.
· Are there specific seating arrangements or configurations required to ensure optimal audio and visual coverage?
All meeting spaces will have classroom setting.
2. Projection and Connectivity
· Are there preferred cabling or connectivity standards (e.g., HDMI, VGA, or wireless presentation systems) for projectors or laptops?
No preferred connections. Briefer/presenter laptops will use HDMI.
· Will government-provided laptops or other devices require compatibility testing with the AV equipment?
Government laptops should not require compatibility testing.
3. Onsite Technical Support
· Will a dedicated AV technician be required in both ballroom sections during simultaneous sessions, or can one technician cover both spaces as needed?
Sessions will not be simultaneous. Only one technician is required throughout week.
· Should technicians provide assistance with tasks such as uploading presentations, or is their role limited to AV equipment troubleshooting?
Symposium POC will send available presentations ahead of event dates to A/V vendor. The POC will also have all presentations which can be viewed on government laptop if needed.
4. Setup and Testing
· Will there be access to the venue before March 3 for early setup or equipment testing?
Yes, A/V will have access the entirety of the day prior (2 Mar) for complete set up. Conference POC can provide hotel POC’s information to coordinate setup on 2 March
· Is there a specific time each day when AV equipment needs to be tested and operational before sessions begin?
Yes, preferable 15-30 min prior to start of the conference. Conference is scheduled to start daily at 7:30AM daily
5. Strike Timeline
· Can strike-down of equipment begin immediately after the last session ends on March 7, or are there venue-imposed restrictions on timing?
Yes, strike-down can occur after the last session on 7 March. Conference is scheduled to be completed at approx. 4:30pm on Friday 7 March.
· Are there any venue-specific guidelines or requirements we need to follow for strike-down and equipment removal?
No, not to our knowledge
6. Event Schedule and Flow
· Will sessions run simultaneously in the ballroom and the partitioned section on March 7, or are they staggered?
The Legends ballroom will only be used 3-6 March. Attendance will be reduced from approx. 250 to 50 members. The approximate 50 members will be in the Legacy meeting space. Legacy will not be used on 7 March.
· Are there any sessions requiring advanced setups, such as video conferencing or live streaming capabilities?
No
7. Audience Interactivity
· Will the event require audience engagement tools, such as Q&A microphones, audience polling systems, or simultaneous translation equipment?
Yes, at least two Q&A microphones will be needed throughout the week available for Q & A.
8. Proposal Scope
· Are we expected to coordinate with the venue’s in-house AV team for any part of the setup or support, or will the government handle this coordination?
No, no requirement to coordinate with the in-house A/V team. The government/Conference POC will handle any in-house coordination.
9. Historical Context
· Can the government share insights or feedback from previous events (e.g., challenges, successes, or areas for improvement) to help fine-tune our proposal?
Last year’s A/V contractor, CORPX Event Specialist LL, led by Gabriel Grier of Honest A/V. provided outstanding services at this location. He and his professional team were able to set up all equipment prior to the event with no identify issues or barriers, and the on-site technician was able to troubleshoot any A/V challenges easily. They were also able to strike down the equipment with ease right after the end of the conference.
10. Technical Documentation
· Will the government provide venue diagrams, AV placement maps, or other technical documentation to assist with setup planning?
Yes, we have venue diagrams provided by the hotel. We will also set up a call with the contract POC prior to the conference/symposium to go over any last-minute questions with the contractor.
11. Security and Access
· Will AV technicians or equipment require specific security clearances or credentials to access the venue?
No, no security clearance/credentials is required. The hotel will unlock the rooms for setup.
12. Event Support: It shows that there is an event in the Legacy Ballroom Monday through Thursday, with a final session on Friday. Will you need the same AV support for all events, and will there be a room flip on any of the days?
The Legends ballroom will only be used 3-6 March. Attendance will be reduced from approx. 250 to 50 members. The approximate 50 members will be in the Legacy meeting space. Friday will not require as much equipment due to the space and audience size. On 6 March at 1400, the legacy ballroom will be partitioned to separate two groups. A/V (one microphone) will only be needed for one side of the partitioned room.
13. Operator and Technical Support: With our AV technician on-site, will you also require an operator for computers, slides, and audio adjustments? I've included this in our quote, but I can make adjustments if you don’t need this. Additionally, I would recommend having an A2, backstage manager, or runner to assist with passing microphones, clickers, etc., allowing the techs to focus on running the event smoothly.
Previously, presenters used a slide advancer (clicker). The A/V tech did assist with laptop connection and any audio adjustments. We will have someone to assist with microphones. One technician was sufficient to manage the A/V requirements historically.
14. Media Equipment: Will you be providing your own laptops for media, graphics, and slides, or would you prefer us to supply them? I have assumed you will need our laptops and have included that in the quote.
Yes, we will provide slides to the technician for their laptop.
15. Projector Setup: Will all three projectors display the same image, or would two of them be used for image magnification during downtime?
All 3 will display the same image.
16. Lighting Requirements: I didn’t see any specific mention of lighting. Will you require additional lighting for presenters, such as stage spotlights when the room lights are dimmed, or ambient lighting around the room?
There is no lighting requirement
17. Room Setup: Will the room be pipe and draped? Do you have a floor plan for the layout?
Floor plans provided.
18. Music or DJ: Will you need a DJ, music playback, or background music (BGM) during downtimes or for stage introductions?
We will not need a DJ but we would like music played during breaks/downtown and potentially introduction music for some of the presenters.
