About this file
This Statement of Work outlines requirements for hotel and conference support services for the Air Force Chaplain Corps Annual Summit from August 10-15, 2025, with four option years through 2029. The contractor must provide accommodations and services within 2 miles of Ronald Reagan National Airport and the Pentagon for up to 250 participants, including 975 regular room nights and 20 suite nights across the event dates.
The SOW details specific daily requirements including meeting spaces (one general session room for 250 attendees, 10 breakout rooms for 50 people each, operations center, and registration area), audio/visual support (technicians, projection screens, sound systems, wireless mics), banquet facilities, and various room configurations. Key requirements include providing payment tracking for banquet attendance, shuttle service to/from the airport, parking availability, and contingency arrangements if unable to honor reservations. The contractor must provide an on-site hotel manager for coordination and notify the government of any potential disruptions by July 20. Room rates must be within government locality rates and exempt from occupancy and federal taxes. While attendees will pay for their own rooms, the contractor must block sufficient space to accommodate all participants during the summit dates.
