About this file
This file is a comprehensive list of questions and answers for a sources sought notice regarding furniture procurement for US Air Force dormitories at Aviano Air Base. The document addresses detailed inquiries about furniture specifications, including material requirements (solid hardwood with 2mm ABS edging), installation logistics, working hours (Monday-Friday, 0800-1700), and site visit availability. Key questions cover furniture dimensions, existing room configurations (102 dorm rooms across 3 floors), material finishes, and clarifications on construction details such as underbed storage unit placement and bookcase specifications.
The responses provide technical clarifications, confirming the requirement for solid hardwood construction (Oak, Beech, Ash, or Maple) with a cherry finish, and specify that exterior and exposed interior surfaces must be solid hardwood or hardwood veneer. The document indicates that past contracts have similarly required solid hardwood with ABS edging, and offers flexibility on some design elements like bookcase width. While no specific pricing or award dates are mentioned in this Q&A document, it serves as a preparatory document for potential vendors to understand the detailed requirements of the upcoming furniture replacement solicitation for the Air Force dormitory project.

Comprehensive List of Questions for Clarification
1. Submission of Quotation o What is the final date for submitting the quote?
- The final date to submit a quote shall be identified on the solicitation that has not been posted yet.
o How should the quotation be submitted? The RFQ does not specify a preferred submission method, and it is unclear whether it should be submitted directly to your office or through another platform (e.g., PIEE).
- A solicitation shall be posted soon.
2. Installation and Delivery Location o Is the installation and delivery to be performed in a warehouse or a building?
- Individual Dorm Rooms within a Building, not warehouse.
o If it is in a building, how many floors does the building have?
- The building has 3 floors. Ground, 1st and 2nd floor(s).
o If the building has more than one floor, is there an elevator available?
- The Facility does have a public elevator for personnel but is limited by weight and potential service outages. Other lifting means for installation/removal must be provided by contractor with the ability to reach European 2nd floor.
3. Existing Furniture Details o How many tables, cabinets, and chairs are included in the existing furniture?
- Within each of the 102 dorm rooms, there are (1) slat bed with headboard, desk, desk chair, dresser, shelf, nightstand, underbed storage unit.
o Could you provide photos of all the existing furniture?
- Yes, we can provide photos for the existing furniture.
4. Past Performance Requirements o Do you require us to submit past performance documentation?
- Prior experience information shall be requested through the solicitation.
5. Working Hours o What are the working hours for the project?
- Monday to Friday Work week o 0800-1700 duty hours.
o Excluding weekends, and US Italian holidays.
6. Site Visit o Will there be a site visit scheduled for this project?
- We can schedule a site visit. Yes.
7. Furniture Specifications o Regarding the "FOUR DRAWERS UNDER BED STORAGE" furniture, it is indicated as 20" (50cm) high. Should these pieces be inserted under the "SLAT BED ON METAL LEGS"? Yes, these will be placed underneath the slat bed. However, the requirement is to have the storage unit on caster wheels. Since the slat beds are 21-1/2" (53.5cm) high, there is only a 3.5cm difference, which may not provide enough thickness for load-bearing sides. Could you confirm this?
- The specifications of the underbed storage should allow for between .5 and 1.5 inches of clearance to allow the storage unit to slide freely from under the bed.
o The "SLAT BED" furniture is indicated as 21-1/2" (53.5cm) high. Adding the mattress would make the bed approximately 75cm high. Is this height correct, or has there been a misinterpretation?
- The specification is for the slat bed only.
o Are you looking to use this bookcase on the top of desk and function as a carrel or are you looking for something that sits on the floor? Yes, the bookcase will function as a carrel on top of the three-drawer chest.
Looking at the previously submitted specifications, can we reduce the width of the bookcase from 34” to 30” to allow for placement on top of the three-drawer chest.
- Attached is a new/updated furniture specification document.
8. Material and Finish Specifications o Why does the request specify solid hardwood instead of engineered panels?
- Historically, we have requested solid hardwood.
o For exposed surfaces, should solid hardwood or veneered engineered panels be used?
- Yes, exterior surfaces and exposed interior surfaces shall be solid hard wood or hard wood veneer.
o If veneered engineered panels are required, should they be painted with fireproof paints certified for public spaces?
- N/A o Regarding edges, the request specifies 2mm ABS edges, which are plastic material. How should ABS edges be applied to solid wood? The industry standard specifies that ABS is attached to hardwood edges utilizing an adhesive material. This seems contradictory. Could you clarify the finishes and materials required?
- The specified materials are solid hardwood for the construction of the furniture with a 2mm ABS edging to provide better protection on the edges. Additionally, it provides a cleaner look of wood grain on all edges.
9. Comparison to Previous Contract o The finishes and materials specified appear to be significantly more expensive than those used in the previous contract (Aviano Room
FA568224Q8064). Was melamine with ABS edges used in the previous contract? Could you confirm the materials and finishes used?
- I am unfamiliar with the mentioned contract stated above. The past two contracts approved for dorm furniture replacement have required solid hardwood with ABS edging.
