About this file
This is a TUPE (Transfer of Undertakings Protection of Employment) data collection spreadsheet designed to accompany a letter seeking employee information from the current integrated waste management services contractor at U.S. Visiting Forces locations across the United Kingdom. The spreadsheet template requires comprehensive employee data organized by sub-contractors and directly employed staff on separate worksheets, including general information such as job role, location, employment status (permanent, fixed-term, zero hours, agency, or vacant posts), and length of continuous employment. Required data fields encompass compensation details including annual salary and weekly conditioned hours of attendance, pension scheme information (scheme name, type, employee and employer contribution rates, and certification status), redundancy liability information (statutory or enhanced company scheme amounts), and contractual benefits such as healthcare, life assurance, car allowances, and other perks.
The spreadsheet also mandates collection of sick pay entitlements, holiday entitlements with service-dependent variations and bank holiday inclusion details, overtime commitments, shift or rostered attendance patterns with enhanced rates, and outstanding financial claims from employment such as season ticket loans or transfer grants. Care must be taken to avoid identifying singleton employees through specific grade or pay band information when services are provided at multiple geographical sites. The example data included shows two drivers—an LGV1 ADR Driver at Eastern Tankers and an LGV2 Driver at Thetford Depot—with detailed pension contributions, statutory injury benefits, and Saturday overtime provisions. This information is required to ensure compliance with the Pensions Act 2004 and to support the contractual transition under TUPE regulations for the UK-Wide Integrated Waste Management Services contract (FA558726R0002) supporting U.S. Air Force locations including RAF Lakenheath, Feltwell, Mildenhall, Alconbury, Croughton, Fairford, Molesworth, and Welford.
