The purpose of this amendment is to answer questions asked by vendors in response to the statement of work and the site visit. The due date for quotes is NOT extended. The questions and answers are listed below.
Q1). Per the request for quotations submitted, these are the questions we received. Please answer/confirm the following:
1. How many free-standing 10” touchscreen kiosks are required?
Depending on the equipment size, yes one kiosk would be sufficient.
2. A printer is mentioned…What is being printed and on what medium? i.e., thermal paper, a ticket, or a badge? Are the consumables provided by the end-user? This printer would be used to print a ticket to keep track of who is in line for different reasons of trying to access the installation.
This printer would be used to print a ticket to keep track of who is in line for different reasons of trying to access the installation. We are looking for a system that has everything included with information of supplies needed to re-order, preferably through the vendor.
3. Contract necessitates comprehensive system training, compatibility with Single Sign-On (SAML). What is this? If we need to interface with it, we will need to access and review the
API.
We would like to be able to view everything (i.e. appointments, how many individuals are in line being processed, turning the kiosk sign in of/on when needed) through the kiosk from our computers and if there is a representative to help set up and show us how the system works.
4. Offering features such as Mobile Ticketing, Playlist Management, and Voice Announcements, with a minimum capacity of 15,000 yearly appointments.” - Do they use ticketing or appointment software now or are they looking for us to provide it on their website as well as access to it from the kiosk?
mailto:kevin.harrington.3@us.af.mil
No, we do not have anything in place as of now and just a physical kiosk at the location would be needed.
5. Can you please tell me if there is a specific vendor/Manufacture that you would like to use for the Kiosk.
No, there is not currently.
6. Do you currently have any Kiosk that you are using for controlled access? If so can you please provide their manufacturer?
No, we do not we are located outside of the installation.
7. Am I correct in assuming this is a new requirement and there is no incumbent?
No, this kiosk is not a recompete, we do not have one in place for any similar requirement.
8. Does the staff have computers and/or mobile devices that they will use to administer the kiosk queue, or should additional administrative devices be included in the bid?
We have computers and on small tv located in our building. A visual or audible queuing for customers is also what we are asking for.
9. The SOW states "software capable of handling… Playlist Management, and Voice Announcements…”
1. For playlist management, is a subscription service like Spotify or YouTube Music required in the bid, or will music be sourced using an existing/different method?
No we have a tv and Wi-Fi already in the building and will not need those functions.
2. For Voice Announcements, are the native capabilities of Android Assistant paired with an Android Speaker device sufficient?
Yes, if the speaker is capable of doing so that would be great!
10. What is the purpose of the Printer Kiosk? Should it be tied into the check-in and queuing system?
To print out tickets for those who do not have a device (mobile ticketing) or ease of access for signing in/waiting in que.
11. The SOW mentions 300’ of Cat 5e. Is it a requirement that all devices be hard-wired to the network? Is Wi-Fi not available for these devices?
Yes, wifi is preferable or wifi puck as we do have this capability.
12. Delivery is 30 Days after receipt of the award. Is this for the full solution?
Yes, preferably with installation.
13. Is it acceptable to receive hardware and software by 30 days (about 4 and a half weeks)?
Yes
14. Is there a requirement for lobby management? Announcements and visuals through a TV/Monitor display?
Yes, all of those capabilities are what we are looking for.
15. How many staff, including front end and manager, will use the system concurrently?
6 in total. 4 at the front desk and 2 site managers
16. Is there a requirement for paper printed tickets from the kiosk?
Preferably yes, in case someone do not have a cell phone, etc.
17. Will the staff have access to a workstation with internet access for a web-based application?
Yes, we have 4 computers to do so.
18. Is there an ADA requirement for the Kiosk?
No, but for example we do have individuals who are hard of hearing/deaf, vision impairment, and will need to be wheelchair accessible by individuals with those limitations.
19. Can you please provide specific requirements for the CRM integration for Kiosk management? Being able to track all aspects of customers that come into the visitor center. I.e who came in for a pass/card, needed help with information/directions, etc. for sole purpose of entering the installation.
We already have DBIDS with DMDC so creating cards/passes, running NCIC is not needed just creating a more organized way of checking in.
20. What are the specific requirements for design and color of the kiosk?
No, it is not needed. But if possible, the base/airforce logo and 20th sfs logo somewhere integrated into the system or on the kiosk itself.
21. How will the software be integrated into the current system?
Preferably integrated already with the kiosk. We do not have a company currently that has the software, it will need to be built.
22. What are the requirements for the Android-based player, including where it will be connected and how it will be used?
We did not want a hard-wired audio system to be used for the kiosk annunciations in case the system was to be moved in the future. Also, ease of access.
23. Could you clarify if the kiosk and printer should be one device (with the printer built into the kiosk) or if they should be separate devices placed side by side?
If the printer could be an all in one system that’s what we are looking for but a side by side would be fine as well.
24. In place of PA announcement feature we offer a text based service that alows customers to wait outside in their car. Is this acceptable alternative to the PA system?
Yes! Definitely looking for an all-in-one kiosk as we do have a limited amount on space in the building.
25. Does the customer want 2 separate stand-alone kiosks – one for check-in and a second for a printer? Could these be combined into one kiosk?
Wired or wireless is fine, but we do have a limited amount of space.
26. What type of printer will be on the printer kiosk? How is the check-in kiosk connected to the printer (wired/wireless)?
No, if it has all the capabilities, it is not needed.
27. If the check in kiosk has an android all in one touchscreen display, is a separate android media player needed?
No, preferably an all in one.
28. Do you want 2 separate stand-alone kiosks – one for check-in and a second for a printer? Could these be combined into one kiosk?
Wired or wireless is fine, but we do have a limited amount of space.
29. What type of printer will be on the printer kiosk? How is the check-in kiosk connected to the printer (wired/wireless)?
No, if it has all the capabilities, it is not needed.
30. If the check in kiosk has an android all in one touchscreen display, is a separate android media player needed?
Yes, it could, but we are looking for a physical kiosk for those who do not have that capability.
31. QR Code scanning at the kiosk for checking in will work for a visitor with a smartphone.
What about someone without a smartphone? Do you want us to provide a software generated virtual keyboard for checking in?
Yes
32. If someone doesn’t have a smartphone, do you want the queue to display elsewhere?
Yes
33. Does the visitor (scheduled or unscheduled) get a ticket or slip of paper printed out when they check in?
Yes
34. If there is an existing system, can we get the API to understand the necessary interface?
No, we do not have one currently it would need to be built.
35. What information do you already have or want to have from the person checking in?
Who they are, birthday, reason they are there, if they have the required documents for the visit.
i.e.
When they pick a reason they are there it will go to required documents and if they do not…they will get that info and come back. We want it to where its more organized and customers aren’t standing around waiting with no direction in place other than the honor system.
36. If there isn’t an existing system are there going to be visitors “dropping in”?
Yes, most are walk-ins and we never know how many people will be coming in on a daily basis.
37. Will they be allowed to pre-register?
No, they will need to be there in person.
38. Scheduling – will there be windows of time available in general or by individual?
For appointments we want to be able to control that option to do if needed. If there is no reason to do appointments, then it would not be available for the customers.
39. Mobile Ticketing, Playlist Management, and Voice Announcements – are these required applications in addition to check in?
Yes
40. PA Specifications – what is your definition of PA?
An audible speaker to say when it is a customers turn to proceed to the front desk, either ai or the front desk.
