ANSWERS DOCUMENT
Posted 28 March 2024
- Room blocks are for 2 nights with early check-in, April 26, 2024 and late check-out April 28, 2024, correct?
Just one night, the evening of the 26th.
- Are you requesting a separate space for dining, correct?
The dining space and the meeting area can be the same.
- What are two examples of a "venue build in activity?"
A guided hike; some sort of entertainment provided by the venue (zoo, performance, ziplining, whale watching, etc.)
- Is there an incumbent?
No.
- Are third-party travel management companies allowed to respond to this solicitation?
Yes so long as they can still provide the lodging and itinerary requested.
- How many double and single-occupancy rooms are needed and what are the exact check in and check out dates?
16 double-occupancy rooms are preferred; ideally, we will also receive a quote for 27 single-occupancy rooms. Hoping for the cheapest lodging arrangement to accommodate the 27 members.
- Will the hotel be allowed to maintain guests' credit cards on file for incidental charges and damages?
No, the payment for this contract will be via a certified Form 9 that can be invoiced thru WAWF. If possible, factor the incidental charges and damage price into the quote.
- Are any breakout rooms needed?
No.
- Is the main conference room acceptable to host guests' meals?
Yes.
- Are lodging and meal rates subject to per diem?
No.
- Is it up to the vendor to decide what time the "activity/event" happens on the 27th?
Yes.
- Should the activity/event be a private event only enjoyed by the AF Attendees and not outside hotel/respot attendees?
It does not have to be.
