About this file

This is a Questions and Answers document for RFQ FA330026Q9997 addressing the Sheppard NCOA Conference Room Upgrade project.

The document clarifies technical specifications and design requirements for the conference room renovation. Regarding electrical infrastructure, three panels serve the space: one 480/277 VAC panel located in Room 1010C and two 208/120 VAC panels in unnumbered locations, with a floorplan provided showing their positions. Asbestos concerns are minimal, as no asbestos was flagged during initial coordination with the Civil Engineer, though the building's age necessitates standard precautions; asbestos is known to exist in floor tiles but that work is out of scope. For audiovisual components, two confidence monitors must be wall-mounted on the back wall near the SNCOA symbol/window at a size determined by the contractor to ensure front-stage presenters can view them comfortably. The ceiling microphone system must provide 100% coverage throughout the entire room to accommodate various meeting formats with speakers at the conference table, around the walls, and at the front stage area. The wireless microphone requirement includes at least two systems with flexibility to support both handheld and lavalier/lapel configurations; multiple presenters may operate simultaneously, necessitating systems capable of handling concurrent usage.

Sheppard NCOA Conference Room Upgrade

Questions and Answers

RFQ – FA330026Q9997

1. Q: What is/are the location(s) of the electrical panel(s) for the space?

a. I have attached the floorplan and highlighted the electrical panel locations (in orange) that give power to the main conference room and backroom. The panel located in Rm 1010C is 480/277 VAC and the 2 unnumbered panels are 208/120

VAC.

2. Q: Is there asbestos present?

a. When submitting the request information to the local CE, no mention of asbestos was presented to our team as being cause for concern for this project. Due to the age of the building, there is always a possibility of the presence of asbestos. We do know that there is asbestos in the floor tiles (not in scope for this project). We have previously had walls demolished/ built in this same building with no report of finding asbestos from those contractors.

3. Q: 3.2.4 – Confidence Monitors - The SOW calls for two (2) confidence monitors.

Can you provide the preferred display size and intended locations? Should these displays be wall-mounted, floor/stand-mounted, or tabletop?

a. The size is to be determined based on the contractor design team to ensure presenters on stage at the front of the conference room can see them comfortably.

The confidence monitors are expected to be wall mounted to the back wall, beside the SNCOA symbol/window.

4. 3.2.8 – Ceiling Microphones - Should the ceiling microphone system be designed primarily to cover the conference table area, or should it also provide coverage for participants seated along the walls? In other words, is the requirement for 100% microphone coverage of the room?

a. Microphone coverage is expected for 100% of the room. Some meetings/briefs will require speakers at and around the table. Some meetings/briefed will be led from the front stage area. All areas need to be able to be clearly heard when needed.

5. 3.2.9 – Wireless Condenser/Speech Microphone- How many wireless microphone systems are required? Will there ever be more than one presenter speaking at a time? Would you prefer combination systems that provide both handheld and lavalier/lapel microphone options for greater flexibility?

a. The preferred wireless condenser/speech microphones is typically at least two.

There may occasionally be speakers who require additional sound reinforcement through the use of handheld/lavalier microphones. There may at times be more than one presenter at a time. We would like the ability to use handheld/lavalier microphones.
