Q&A Facility Support – Night Monitor Period ending 06 Dec 24 – All responses in RED
1. Please consider providing an exhibit graphic of the educational building layout including square footage. (See attachment)
2. How many classrooms are included which are not location in Bldg 1413? (Building 1413 floor one and part of floor two consists of approximately 25000.00 square feet consisting of offices, classrooms, and shared spaces. There are twelve primarily utilized rooms for classes with up to 20 classroom spaces available. 8 primary on 1st and 4 primary on 2nd floor. There is an elevator and stairs if necessary)
3. What is the distance between those off-site locations relative to Bldg 1413 and frequency of use in the past year? (Currently there are not any classrooms outside of building 1413, however experience is indicative of the changing requirements for classroom space which may require movement of a class to another classroom)
4. What is the minimum notification timeframe for unscheduled building usage? (No building changes have occurred. However, advance notification will be sent if the situation arises)
5. Can key personnel be replaced after the award? (The contract owner takes responsibility for coverage in the event of absences of personnel departures)
6. What are the projected hours or historical annual hours utilized? (Typically, courses are in the range of 1630 to 2030 Monday through Friday, and 0800 to 1600 on Saturdays, with some flexibility for courses beginning earlier Monday through Friday.)
7. Is there a specific uniform or attire needed for this requirement? (There is not a uniform, however the Night Monitor should dress appropriately for this position in a higher education environment. )
8. Is this a new opportunity or a re-compete? If this is a re-compete what is the name of incumbent, contract number? (Re-compete FA286020C0012 incumbent Goins Corp GmbH)
9. If there is an incumbent for this RFP, are they eligible to bid on this contract? (Incumbent is allowed)
10. What is the anticipated award date for this contract? (Within 45 days - see requirement information and Period of Performance listed on RFQ)
11. Should we submit the technical proposal and pricing in a single document, or are we required to create two separate documents for each? (See evaluation criteria – Pricing in the Combo CLIN structure and the technical approach)
12. Any supporting documentation to demonstrate technical capabilities? ( e.g.
certifications, past reports etc.) (Proof of technical capabilities is necessary, for evaluation. Certifications are not required.)
13. Are the hours the Night Monitor is expected to be available fixed or flexible based on the scheduling of the courses? (hours are fixed with some flexibility for courses outside of the normally scheduled timeline)
14. What are the summer months / general hours needed in the requirement specifically June, July, and August? (The hours are the same throughout the year)
15. Is there an ongoing process for keeping the Night Monitor updated on any new technologies or equipment used in classroom? (Our standard equipment in each classroom are smart boards, computers (CPUs), white boards, and some classrooms have televisions. If the standard equipment changes and training is required, the night monitor will have the option to attend the training)
16. What is the process for notifying the COR of any issues, such as equipment malfunctions, maintenance needs, or other problems encountered? (The notification process depends on the immediacy of the incident. However email and phone contact information is provided and will be on POC information in the contract)
17. How should schedule changes, such as class cancellations or room reassignments, be communicated to the Night Monitor? (The school personnel are required to notify the education and training section personnel and the contract owner and night monitor as soon as a cancellation is known)
18. Is training for the Night Monitor position billable? Ex: Antiterrorism Awareness Training for Contractors? (No – not billable)
19. Is this solicitation coming out through any vehicle or is it solely on SAM? (Currently just
`SAM)
20. Clarification on page count for the Technical Volume submission? (Technical approach submission should be no more than 5 pages not including Combo solicitation)
