Statement of Work: AFLCMC/HBS AWACS Conference Room

1.0 Purpose:

Request For Quote (RFQ) from AV vendors/contractors to purchase, install and provide training for new audiovisual system in the AFLCMC/HBS, Conference Room - Room 2N-501, Bldg. 1612, Hanscom AFB, MA 01731.

2.0 Scope:

The main objective for this effort is to obtain quotes from vendors to provide a full audiovisual solution for a conference room that has the ability to provide upgraded technology for on-going conferences. Full audiovisual capabilities are to include:

1) One wall mounted large screen display 82”, to be mounted on the front wall – should be a Commercial grade 4K UHD on TV mounts for future display compatibility. TV cannot have Wi-Fi capabilities.

2) 12 ceiling-mounted speakers front to back of the conference room to provide adequate sound for teleconferences.

3) Dedicated Unclassified PC input located at AV desk for display – PC to be provided by government

a. Owner furnished PC, Mouse, Keyboard

b. Video connections should include VGA, HDMI and Display port

4) Unclassified laptop connection at/near A/V desk for Unclassified laptop connection with cabling that can reach the conference table

a. Connections should include VGA, HDMI and Display port

b. Hardware should be simple to operate

5) Ceiling-mounted microphones for use in UNCLASSIFIED Audio Conferences sufficient for teleconference participants at the main seating area around the conference table, a space approximately 16 feet long

6) Cables/Connectors/power strips/power supplies and miscellaneous materials

7) All cables/wiring will be bundled at the A/V desk

8) New laser projector & lens (WUXGA 1.22-1.53:1) with ceiling mounts to be used with pull down screen as needed

9) Touchscreen controller to manage all input sources and display locations

10) VoIP Digital Sound Processor

11) Rack for hardware components

3.0 Vendor/Contractor Requirements:

Upon award, the AV vendor/contractor shall:

1) Provide an installation plan for the AWACS conference room including a timeline showing milestones and a completion date for the project

2) Provide specialty engineering to complete the technical solution and implementation strategy specific to the installation

3) Develop and produce supporting documentation, diagrams and/or artifacts detailing the installation

4) Provide detailed requirements the government will need to provide for a successful installation.

5) Remove wall mounted SMARTBOARD located at front of conference room

6) Purchase and professionally install all new equipment included in the technical solution

7) Provide all code implemented in the system including control system code, periods processing code, and any other code necessary for room operation (audio or other), maintenance and upgrades

8) Ensure integration, programming and testing of the new equipment

9) Provide training and orientation to the government on use of the new equipment

10) Provide 3 years of support (response time of 6 hours or less) and warranty on all equipment and systems

4.0 Timelines:

This project will be completed within 65 days of the award of the contract. Upon award of the contract the Contractor will provide the government an installation plan within 10 business days.
