About this file

This is a vendor information document from the Texas Department of Public Safety (DPS) regarding submission procedures for the DPS Online Bid Room system, applicable to the Janitorial Services for Cleburne solicitation in Texas. The document outlines the optional electronic submission process for bid responses through the DPS Online Bid Room portal. Prospective vendors must register as vendors at the specified portal URL, a process that requires up to two business days to receive login credentials via email. Once registered, vendors gain access to review solicitation opportunities and submit responses electronically. The document emphasizes the importance of allowing sufficient time for the registration process to meet the response due date, as late submissions are not accepted under any circumstances. Vendors are directed to review the complete solicitation package, including all exhibits, before submitting responses in the form and manner specified in the solicitation documentation.

The document provides guidance on accessing vendor support resources, including an online bid room vendor tutorial, user guide, and frequently asked questions available on the DPS website and YouTube. Importantly, the use of the DPS Online Bid Room is entirely optional, and vendors may submit responses through any other method identified in the solicitation package. Technical difficulties or issues related to the optional electronic submission system do not constitute grounds for protesting a contract award. Vendors who successfully submit through the DPS Online Bid Room receive automated submission confirmation through the system, and no additional confirmation of receipt is required. The document directs vendors to contact the DPS point of contact identified in the solicitation package for questions regarding the solicitation requirements.
