About this file

This Statement of Work outlines professional translation services requirements for the Texas Department of Public Safety (TXDPS). The agency seeks a contractor to provide accurate, culturally appropriate English-to-Spanish translations of manuals, pamphlets, tests, and other written documentation while maintaining original meaning, tone, and formatting. Deliverables must be provided in both Microsoft Word (.docx) and PDF formats, with source materials typically supplied in Word or PDF format, though alternative formats such as USB flash drives or printed copies may be specified. Respondents must submit a minimum of two translation samples with their proposal, along with supporting files such as glossaries or reference materials used in the translation process. The contract term is five years. Bids must include contact information for at least two professional references with verified experience on similar projects, including company name, contact person's full name, address, and phone number.

Contractors must provide detailed quotes specifying per-word or per-page rates, total project costs, and any additional fees for rush jobs, specialized terminology, or formatting services. Contractors shall also provide completion dates based on document word count, complexity, and rush requirements, with a mandatory 48-hour advance written notice to the Contract Monitor if delays occur. The contractor must accept TXDPS payment terms of net-30 upon satisfactory completion and approval of deliverables, with invoices requiring itemized details, the associated purchase order number, and submission within a reasonable timeframe. The contractor is responsible for proofreading to ensure translations are error-free.
