About this file

The document is a Volume Statistics spreadsheet prepared by the Florida Department of Health for Epic, a healthcare software vendor, detailing the organization's current operational volumes and system requirements. The spreadsheet captures comprehensive metrics including 393 providers across 4,000 service sites (with potential multiple clinics per site), 10,000 total named users, 10,000 peak concurrent users, 939,000 ambulatory clinic visits, 1,739,133 lab specimens, 190,677 dental visits, 284,160 professional billing charges, and approximately 140 IT staff supporting the electronic health record systems.

The organization provides core public health services and dental services, with 57 physicians offering 191,000 visits covering general and pediatric services. They currently outsource revenue cycle operations to three third-party entities (FLMMIS, Optum, Availity) involving approximately 8,000 users. The document indicates basic behavioral and mental health counseling capabilities but no standalone behavioral health hospital or methadone clinics. The organization participates in plan-required reimbursement agreements and does not currently provide home care or hospice services. This detailed volume statistics spreadsheet appears to be part of a broader electronic health record system assessment or procurement process.

Instructions:

• Please provide your annual volume statistics for the metrics below based on any definitions listed. Volume statistics should represent your anticipated volumes at full rollout. For instance, if you plan on opening a new clinic or are projecting 5% growth before go-live, those volumes should be included in the statistics below.

• Examples are provided to help you determine some of the types of visits to include. Note that in some cases we ask that you provide mutually exclusive statistics.

• If a volume is not applicable to your organization you can list "N/A" in the corresponding cell or ignore it altogether.

Total Named Users Total number of unique human beings expected to have access to your Epic system at full rollout.

Peak Concurrent Users Number of staff expected, at full rollout, to be logged in to Epic during peak times (typically late morning and early afternoon). Note that these users may be using different systems today (EHR, billing, scheduling systems, etc.). Please make sure all users are accounted for.
