About this file
This is a Statement of Work (SOW) for biannual maintenance, cleaning, and servicing of kitchen extraction systems at three U.S. Embassy properties in Pretoria, South Africa: 193 Taurus Waterkloof, 877 Pretorius St Arcadia, and 100 Totius St Groen Kloof. The client is the U.S. Department of State with point of contact Percy Zwane. The estimated project duration is 4 hours per site. Quotations must be submitted to procurement within 3 working days of receiving the final SOW, with completion deadline to be established by the Contracting Officer based on order approval and property vacancy. The work will be performed on an as-needed biannual basis. Work must comply with South African National Standards 1850 for commercial kitchen extraction, SANS 1475 for fire-fighting equipment, and NFPA standards 17A and 72 for fire suppression and alarm systems.
The scope requires five phases of work: preparation and protection including containment with waterproof drop sheets and site restoration; cleaning and service of extraction canopies, filters, ducts, mechanical components, and rain cowls per SANS 1850 standards; Ansul fire detection system service (for properties at 877 Pretorius St and 100 Totius St only) performed by certified technicians including replacement of fusible links; and deliverables comprising in-depth service reports with compliance certificates for health, fire, and insurance audits plus maintenance advisories. Contractors must obtain security clearances from the Regional Security Office for all permanent employees, designate an on-site supervisor fluent in English, maintain a 12-month warranty on all parts and labor, and provide comprehensive documentation via the included service check sheet. Pricing must separate labor and material costs, and contractors must confirm measurements before quoting with no cost adjustments permitted for measurement errors.
