The RFQ requests janitorial services for the facility, with the work to be completed outside of operating hours when guests and staff are not present. The document provides clarification on the frequency and requirements for various cleaning tasks outlined in the RFQ.

Pricing for the contract is to be based on the 32 man-hours per week, with additional services for on-call and exception cleaning billed separately. REQUEST FOR QUOTES #2024-26

JANITORIAL SERVICES FOR MILWAUKIE COMMUNITY CENTER

RESPONSE TO CLARIFYING QUESTIONS

May 9, 2024

Note that these are questions submitted by interested firms to the above referenced solicitation. The below answers are for clarification purposes only and in no way alter or amend the RFQ as published.

1. Is the cleaning service during work hours or after work hours? same question for the weekend service?

Answer: The cleaning services are to be completed in areas of the building where guests and staff will not be disturbed by the janitorial staff performing services. In general work is to be done when the facility is not occupied, there are some exceptions, as long as the janitorial staff are silent and unseen to rentals and events after hours, but definitely not performing services during operational hours of the facility.

2. Section 5 - “based on 32 man hours per week” – is this a total PO amount contemplating “on Call” and

“Exception cleanings” is that correct?

Answer: On-call services are included within the PO and Exception is billed in addition.

3. Section 19 - “Grout In Restrooms should be cleaned annually” – to ensure proper quote this would mean professionally Clean and Reseal? Or just wipe down with general cleaning scope?

Answer: Grout is now epoxy and this service is not needed. See addendum #1, Issued May 9, 2024.

4. Section 20 - spot check and clean high traffic and heavily soiled areas. Spot shampoo carpeted areas” – besides spot checking carpets which should occur when noticed during service?

Answer: Any soiled area less than 20 square feet should be spot cleaned.

5. Section 20 - are we expected to shampoo high traffic areas on a schedule, or will those be on call items priced when required to perform?

Answer: All carpet cleaning is to be performed with a carpet extractor. (Time spent extracting must be logged per area and time spent extracting daily).

6. Section 20 – Should we provide pricing to clean the 7,000 sq. ft. of carpet 1x per year or so, or will that be on call and priced when service is needed? In the scope of work it has “Extractor carpet cleaning of large carpeted areas as needed (weekly)” in RFQ it mentions that’s 7,000 sq. ft. – Should we price this as a week service as part of the scope or as a “as needed – per occurrence”?

Answer: Carpet extraction is to be billed per hour separately from the standard cleaning schedule and performed as needed in high traffic areas (Hallways and main traffic patterns) up to 22 hours monthly.

PH: 503-742-5400 WWW.CLACKAMAS.US

All other non-high traffic carpeted areas should be covered in the standard cleaning schedule as once yearly extraction.

Carpet Cleaning Definitions *Carpet Extraction - large areas over 20 sq ft. (This must be billed separately and adhere to billable hours monthly.)

*Spot Cleaning – areas under 20 sq ft (Is Included in standard cleaning schedule)
