About this file
This is an Addendum #2 Revision document related to the City of Waxahachie's City Wide Generator Maintenance Service Agreement, a comprehensive maintenance solicitation for the City of Waxahachie, Texas. The City seeks qualified contractors to provide maintenance services for twenty existing generators distributed across municipal facilities including utilities, water treatment plants, fire departments, police departments, and city hall. Services required include regular inspections, preventative maintenance, load testing, and emergency response capabilities. A non-mandatory virtual pre-bid meeting is scheduled for July 10, 2025, at 10:00 AM Central Time, with final proposals due by July 17, 2025, at 2:00 PM Central Time. The contract will have an initial one-year term with four additional one-year renewal options available at the City's discretion. Award decisions will be based on a 100-point scoring system allocating 40 points to cost, 25 points to experience and qualifications, 25 points to service approach, and 10 points to references.
The generator inventory ranges from 35 kW to 1250 kW and includes equipment manufactured by Cummins, Kohler, CAT, and Generac. Pricing will be calculated annually based on three generator size categories: small (500 kW), medium (500-1000 kW), and large (over 1000 kW). Contractors must provide proof of insurance including $1,000,000 in commercial general liability coverage, business auto liability, and workers' compensation coverage. A critical service requirement mandates a 4-hour emergency response time for generator issues. The solicitation does not include explicit set-aside designations for disadvantaged enterprises and permits the City to award a single contract, split awards, or make no award based on the most advantageous proposals received. The procurement also includes provisions allowing for cooperative purchasing arrangements.
