Questions Answers

Q1. What type of phone system do they have? Is it an Analog line, a Digital phone line or a VOIP system? RFP reads: They want a speakerphone system so that participants can call into a meeting and be part of the broadcast/recording.

A. We currently have analog lines for Polycom speaker phones. We also have digital lines available.

Q2. RFP reads: Satellite transmission (C-SPAN, CNN, etc.) has been made available via installed cables connecting the conference room to the rooftop of the building. How do these sources get into the system? Do these sources feed the Extron 12 x 8 switcher directly, are they supplied by a hotel system or in house cable system using RF cable? I do not see them on the drawings that were posted on the web.

A. The sources are currently separate from the system.

Q3. How many Satellite transmission (C-SPAN, CNN, etc.) do they have or do they want in the future?

A. We have 2 audio lines and 1 video line.

Q4. They requested that there be a Mult box for audio feeds available for press and Camera feeds available for press too. How many audio and Video Press Box feeds do they want – Six, Eight, Ten, or more? I am talking total number of Audio and Video feeds for the Press.

A. Eight should be plenty.

Q5. What type of audio and video signal do they want for the Press feeds?

- option #1 Mic audio and Analog video

- option #2 Mic audio and Serial Digital Video (SDI)

- option #3 SDI with embedded audio

I just need to know what signal the press needs for their Press Pool Feed Box in the back of room

# 483.

A. If an industry standard exists, that is acceptable for us. If not, then standard C-Span requirements can be used.

Q6. Can we get a Model # off the Extron 12 x 8 Crosspoint switcher in the closet? It is not on the drawings or the list of equipment.

A. Due to the current tight installation of the equipment, we would have to take the system apart to find the model number.

Q7. Is there a LAN connection or line existing in each room? If not, will that be in the scope of labor for pulling and installing that line?

A. Each conference room has at least one LAN connection.

Q8. The use of document cameras seems to be important as a fixed device in room 483, is it necessary to have a permanent unit in rooms 407, 414 and 453 or would one portable unit be sufficient?

A. The goal is for the rooms to be self sufficient for the user without staff or equipment support.

Q9. Are there floor and reflected ceiling drawings available in .pdf or .dwg format?

A. We have .dwg (AutoCAD) drawings of the floorplan. Field measuring should occur to insure accuracy.

Q10. Where are the Vbrick units to be located and what are the input signal standards accepted?

A. The Vbrick units are housed in the A/V rack and in the server room #448 on the 4th floor of the

Ford House Office Building.

Q11. Is there an analog phone line available in the AV/Annex for ATC?

A. No, but that can be arranged if needed.

Q12. Does CBO utilize a bridging service for audio conferencing via an analog phone line?

A. CBO has an account with an outside service to provide conference call coordination.

Q13. Will AOC be responsible for any room modifications such as: replacement ceiling tiles, blocking and power?

A. Yes.

Q14. It was mentioned that CBO is on its own network. Will the selected vendor have access to this network working with CBO/ITS to put control systems and other devices on a segment of this network for remote monitoring and operation from within the CBO network?

A. Access will be coordinated through CBO’s IT department.

Q15. Will there need to be a separate Network to support the conference rooms’ Internet Connection?

A: No.

Q16. The Price Schedule provided has line items 005-008 listed as optional 1-4 year maintenance contracts. The final line is a “Grand Total” and does not specify which maintenance option it wants included in the “Grand Total”. Could you clarify how you would like that part of the price schedule itemized?

A. Offerors should provide a price for all line items. The Grand Total will be the sum of all lines and will be used for evaluating the prices proposed. The optional items at 005-008 represent future years of maintenance that CBO may purchase annually. Offerors should provide their fixed price for performing the services in the out years.

Q17. We typically keep freight for each room as a separate line item on our pricing sheets. Would this be an acceptable method of itemization?

A. Separate itemization is acceptable, provided it clearly shows what items are associated with the cost.
