About this file
This is a Statement of Work (SOW) for simulation and design support services related to Radio-Frequency (RF) Systems for the Electron Ion Collider (EIC) at Brookhaven National Laboratory. The work encompasses six primary tasks focused on RF system design, simulation studies, and power requirement evaluations across multiple RF subsystems including the Electron Storage Ring (ESR), Hadron Storage Ring (HSR), Ion Recirculation Ring (IRR), and Recirculation Linac (RCS). Tasks include power requirement evaluations with beam transient analysis, comprehensive HSR RF system simulations, detuning optimization studies at multiple frequencies (24, 49, 98, 197, 394, and 591 MHz), transverse distribution analysis in the presence of RF noise and crab cavities, and power requirement confirmation for the RCS 591 MHz RF system during ramp operations.
Deliverables consist of written technical reports for each task and comprehensive documentation including codes and manuals. Key milestones are scheduled throughout Fiscal Year 2027, with technical reports due at the end of Q1 (Tasks 3 and 4), Q2 (Tasks 1 and 5), Q3 (Task 6), and Q4 (Task 2), along with preliminary code development by end of Q3 and complete documentation submission by end of Q4. Work will be executed under the direction of the EIC RF Systems technical leads, requiring weekly teleconference participation for status reporting and progress review, with occasional videoconferences anticipated no more than once per week. This is currently a Pre-Solicitation Request for Information only; interested parties should submit capability statements to Eric Nagel at enagel@bnl.gov demonstrating relevant qualifications.

STATEMENT OF WORK (SOW)
Overview The Radio-Frequency (RF) Systems for the Electron Ion Collider (EIC) at Brookhaven National Laboratory (BNL) will support injection, capture, acceleration, bunch splitting, compression, store, and bunch crabbing of electron and hadron beams. Simulation studies are required to inform the design of the RF systems, identify RF control challenges, define operational modes and required RF Control architectures, and define feedback systems.
Proposed Tasks The following tasks are part of the proposed work:
System
Task #
Description
COL-ESR
1
Repeat power requirement evaluation with updated parameter set including beam transient. Explore pathways for power reduction: 1) optimal detuning for transient beam loading with abort gap and 2) modulation of setpoint to cope with dynamic transient beam loading.
COL-HSR
2
Comprehensive simulation of HSR RF system including all the loops and filters during special rf gymnastics for different beam scenarios. This task is associated to a recommendation from the ASR LLRF PDR-2 held in April 2026.
3
HSR 24, 49 and 98 MHz: Evaluate detuning based on current parameters, investigate optimal detuning to reduce peak power, and estimate power requirements with cavity phase setpoint modulation.
4
HSR 591 MHz: Evaluate detuning based on updated parameter set, investigate optimal detuning to reduce peak power, and estimate power requirements with cavity phase setpoint modulation.
COL-IRR
5
Transverse distribution in the presence of RF noise and crab cavities at two different frequencies (197 and 394 MHz). The additional action of the transverse damper will be included for the ESR. The action of the RF noise feedback will be included for the HSR.
EIN-RCS
6
Confirm power requirement for RCS 591 MHz RF system during ramp.
Tasks will be revised as necessary based on RF Systems development progress, evolving requirements, and project priorities.
Participation in weekly teleconferencing meetings to report status, review progress, and establish or adjust priorities will be required. Participation in design reviews and preparation of supporting materials for technical reviews may also be required. Occasional videoconferencing meetings may be scheduled to address specific topics, with such meetings anticipated to occur no more than once per week.
The work will be carried out under the direction of the technical leads for RF systems of the Electron-Ion Collider, as established by the contract.
Milestones Milestones dates are estimates and may change based on project priorities.
