Bid Pricing Form Summary

This Bid Pricing Form pertains to the City of Gainesville's Regional Transit System (RTS) procurement for bus shelters and amenities. The solicitation seeks competitive bids for seven line items: bicycle racks, trash receptacles with liners, free-standing benches with advertising back rests, Type II shelters (12' x 4.5' x 8'), benches for Type II shelters, Type III shelters (16' x 4.5' x 8'), and benches for Type III shelters. Bidders must submit unit pricing for two volume tiers: 1-5 pieces and 6-10 pieces, with minimum and maximum purchase quantities ranging from 5 to 100 units over the contract period depending on the item. The bid response deadline is February 18, 2026, at 3:00 p.m., with a question submission deadline of January 27, 2026. The contract term runs from execution through September 30, 2028, with an optional one-year extension period. All pricing must remain firm throughout the entire contract term, with no price escalations or adjustments permitted, though bulk freight savings on large orders are expected to be passed to the city.

The pricing form requires bidders to include all costs in the unit price, including freight charges. Award determination will be based on the total sum of both pricing columns with no additional multipliers or quantities applied. Bidders must indicate whether warranty coverage is being provided, and if so, must specify whether the warranty is offered by the bidder or the manufacturer, along with detailed warranty information including the service provider's name and contact details, warranty term, and coverage specifics. The form requires completion of company identification information and authorization by a company representative with signature and date. Deliveries must occur within 8-12 weeks of purchase orders, and contractors must guarantee replacement parts availability for at least ten years post-delivery.
