As part of the NexGen IT program, TRIRIGA replaces the legacy systems IWIMS, ACES-RP, ACES-PM, ACES-FM and AFERS. In addition to replacing these systems, TRIRIGA enables some previously out-of-system processes. In instances where installations are using non-standard systems, TRIRIGA will replace local systems as the enterprise solution.

TRIRIGA enforces some of the new business processes set forth in PAD 12-03. It has been configured to standardize business processes and enhance visibility. The system’s reporting capabilities provide data access which could replace legacy data calls, enabling HHQ users to query data directly in TRIRIGA.

To minimize disruption to operations when transitioning to TRIRIGA, installations need to (1) proactively engage in pre-deployment data cleansing and set-up preparation activities, (2) complete system access requirements in a timely manner, and (3) dedicate resources to initial set-up activities after Go-Live. TRIRIGA has substantial conversion preparation and Post-Go-Live set-up requirements that necessitate dedicated functional consideration and support to ensure objects and data being created in TRIRIGA will support day-to-day operations. Leadership support for preparation prior to deployment and during initial set-up, enable installations to reduce down-time and transition to operation in TRIRIGA.

PRE-DEPLOYMENT MILESTONES

• Substantial Post-Go-Live set-up is required to enable an Installation to operate in TRIRIGA

• These activities can’t be completed prior to deployment; however, a lot of the coordination, planning, and decisions required to support set-up can be made in advance

• The TRIRIGA Deployment Reach-back Center (T-DRC) team will work with users in each functional area to help prepare for set-up using the Path to IOC (P2IOC) Guides which include Pre/Post-Go-Live guidance for each functional area

• Installation points of contact (POCs) will lead cleansing efforts to ensure pre-deployment data readiness is on track. Data Readiness Recommendation (DRR) Anomaly Reports identify instances where the Installation’s data does not conform to the DRR business rules. DRRs are executed against legacy (ACES-RP, ACES-PM, AFERS, IWIMS) data; the resulting DRR Anomaly Reports are posted on the NexGen IT/TRIRIGA Portal and notifications are sent to the identified Installation POCs

• In support of the DRR Anomaly Reports, data refreshes will occur at 180/90/60/30 day intervals (at a minimum) before each Installation’s deployment. DRRs will be processed against up-to-date legacy data for each DRR cycle and posted on the NexGen IT/TRIRIGA Portal for review and cleansing

• In order for updates in legacy to be reflected on the next Anomaly Reports, DRR stop dates will be established for each Installation’s DRR cycle. Installations must complete updates ~15 days prior to the next cleansing cycle as data is based on a snapshot of legacy data ~15 days prior to delivery. Official DRR calendar stop dates will be provided to each Installation in a DRR notification email from the AFCEC FMO Data Team

• Resolution of identified anomalies is critical to ensure on-schedule deployment. Installations will need to manually load objects that failed to migrate, which may add a substantial workload post-deployment

• Users’ access to TRIRIGA is based on the role(s) they request via a TRIRIGA Role Request through the System Authorization Access Request (SAAR) system

• Without an approved TRIRIGA Role Request, system access is not possible, and users cannot perform their work in TRIRIGA

• At ~90 days prior to an Installation’s Go-Live date, the T-DRC will begin coordination with Installation POCs to identify individuals to serve as SAAR Signatories

• SAAR Signatories will evaluate and review users’ TRIRIGA Role Requests

• SAAR Signatories will need to submit SAAR Signatory Role Requests to gain access to their Installation’s TRIRIGA Role

Request approval workflow

• All users need to complete a TRIRIGA Web Based Training (WBT) within 30 days of their Installation’s deployment date in order to submit a TRIRIGA Role Request

• TRIRIGA Role Requests should be submitted as quickly as possible within the 30-day window to allow for processing time

POST-DEPLOYMENT MILESTONES

• For objects created via conversion, users must review to validate all objects migrated correctly

• For some converted objects, additional actions must be taken (e.g., data added, contacts assigned) before the object can be used to support TRIRIGA operations

• The Data Readiness Team will do conversion analysis to identify gaps and will collaborate with the Installation to address

• P2IOC set-up guidance – found under the Deployment Preparation Tab on the NexGen IT/TRIRIGA Portal homepage – includes activities that must be completed to ensure converted objects are present, complete, and in the required status to support CE Business Processes

• The T-DRC will provide guidance on data validation and set-up activities to assist Installation users in each capability

• Any manual creation of records that failed to migrate because they did not meet DRR/Conversion data quality requirements are created as part of the data validation and set-up process

• Operation in TRIRIGA refers to the time after the set-up of objects aligned to IOC capabilities in the IOC Tracker

• This is the ongoing state of conducting CE business processes utilizing TRIRIGA

• Installations need to complete data validation and set-up activities as quickly as possible in order to minimize an operational pause between legacy systems and TRIRIGA

• Local leadership will need to dedicate resources to Post-Go-Live set-up, and actively coordinate with external stakeholders to manage expectations during the transitional period immediately before and after deployment

• Following deployment, the T-DRC will provide on-site over-the-shoulder guidance to facilitate data validation, set-up, and delivery of initial training for Installation users in all capabilities

• Users will need to evaluate migrated data and load new objects

• Users will leverage tools, templates, worksheets, reports, and other resources developed during set-up preparation

• Set-up activities often involve cross-functional coordination and will be complimented by initial training as users progress through set-up

• Since TRIRIGA is an enterprise system, the set-up for a capability may not be entirely executed by users within that capability

– For example, the Materiel Control capability will not be operational until the Cost Accounting capability has completed the set-up of Supply Funding Documents

• The FMO has developed a cross-functional tracking tool, the IOC Tracker, to enable installations to monitor set-up progress for each area, and see when capabilities are enabled in TRIRIGA

• The IOC Tracker is managed by the Installation, and provided to the FMO every 2 weeks to feed an IOC Dashboard
