About this file

The document is a Bid Evaluation Form for an audiovisual and videoconferencing equipment procurement event (#32110-13699), which appears to be a state government solicitation. The procurement covers a comprehensive range of audiovisual equipment and services, including commercial displays from manufacturers like LG, Sharp, and Planar, projectors, projection screens, mounts, furniture, cabling, audio equipment, video conferencing systems, and related installation and programming labor. The solicitation includes 39 distinct equipment and service categories with estimated spend amounts ranging from $3,308 to $1,131,000, and encompasses quantities for on-site installation labor (4,500 hours), warehouse labor (800 hours), programming labor (2,000 hours), and project management labor (500 hours).

The evaluation model uses a weighted scoring system with a maximum 100-point scale, distributed across equipment (50 points), labor (30 points), and maintenance (20 points). Bidders are required to provide percentage discounts from manufacturer's suggested retail price (MSRP) for equipment categories and maximum hourly rates for labor categories. The state will calculate evaluated prices by applying proposed discounts to estimated spend amounts, with the lowest total evaluation cost receiving the highest score. Maintenance will be calculated as a percentage of total covered equipment MSRP and paid annually. The solicitation appears designed to establish a comprehensive audiovisual equipment and services contract with flexible pricing and broad manufacturer coverage.

Instructions Event #32110-13699: Evaluation Model

Catalog Discount Evaluation Instructions:
MUST BE COMPLETED COMPLIANT TO SECTION 8 OF THE ITB SPECIFICATIONS.
The catalog discount evaluation on the "Catalog Discount Evaluation" tab provides the state a quick evaluation between multiple bids. It shows all of the anticipated catalog categories and includes sample line items in each category.

The catalog may include more or less items than this sample for evaluation shows. Catalog items will be removed and added depending on the need of the state, and the bid "Discount Percent" will apply to all items in the catagory regardless of when they were added to the catalog. Discount percentage will be applied to MSRP.

Each category is labeled and highlighted in a gray row. For all equipment categories, bidders are required to enter their discount percentage bid for each category in the green box in the category row. The form will then calculate a total for comparison.

For the labor category, bidders are required to enter their MAX rate per hour for each labor type in the green box. All category lines must be bid in order for a bid to be valid and considered for award.

All of the quantities have been set by the state for this evaluation only and may not be changed.

All quantities are for evaluation purposes only. Quanities provided are not estimates of actual purchase commitments or a commitment to purchase the listed quantity.

Please do not modify this sheet in any way.

Please do not enter any information except in the green highlighted cells.

Equipment Example:

If the contractor would like to bid a 50% discount for LG Commercial Displays, the bidder will enter "50" in the green highlighted box for that category.
