About this file
This is a Site Visit Validation Form attachment for a state and local contract opportunity issued by the Department of Criminal Justice Training (DOCJT). The document establishes mandatory site visit requirements for all bidders participating in the solicitation. Bidders or their designated employees must physically inspect the facility where services will be performed to assess general and local conditions that may affect contract performance costs. The site visit serves as a fact-finding opportunity for bidders to verify actual square footage and other site-specific details. Bidders must contact the building manager or designee identified in the Extended Description to arrange their site visit. A completed and signed Site Visit Validation Form must be submitted with the bid response to be considered responsive; failure to complete this requirement results in automatic bid disqualification.
The validation process requires that an authorized DOCJT representative sign the form after the bidder completes the facility tour, confirming that all relevant facility areas were visited and no pricing information was disclosed during the site visit. The form must include the facility address, printed name and signature of the company representative who conducted the tour, company name, date of visit, and printed name and signature of the DOCJT representative. Bidders are prohibited from discussing pricing information with agency representatives at any time during the site visit; violation of this restriction renders the bid non-responsive. The solicitation explicitly states that a bidder's failure to inspect the site does not constitute grounds for claims after contract award, placing full responsibility on bidders to conduct thorough due diligence during the site visit phase.
