AED Sources Sought Notice Questions

1. Experience and Certification

· How long have you been servicing AEDs?

· Are your technicians certified to inspect and maintain AEDs?

· Are you authorized or certified by AED manufacturers?

· Has your firm provided AED services to other federal agencies? If so, please provide the name of the agency, your role (i.e. prime contractor, subcontractor, supplier, etc), and the estimated number of locations and devices supported. If you were the prime, did you utilize subcontractors?

· Do you have staff assigned/dedicated to a customer or are staff assigned on a rotating basis?

· Do you currently have American Heart Association (AHA) Certified Instructors as part of your staff? If not, how would you meet the training class requirements?

2. Compliance and Regulations

· How do you ensure compliance with local, state, and federal regulations (e.g., FDA, OSHA)?

· Are your services aligned with the American Heart Association (AHA) and manufacturer guidelines?

3. Scope of Service

· What specific services do you perform during routine maintenance (e.g., battery testing, electrode pad checks, software updates)?

· Do you offer preventive maintenance or just repairs?

· Do you provide on-site service, or must the AEDs be shipped to your location?

· do you predominantly use in-house personnel, or do you subcontract out with more local companies?

· Do you have existing established relationship with subcontractors? If so, please provide some information regarding your partners.

4. Recordkeeping and Reporting

· Do you provide documentation after each service?

· Will you help maintain compliance logs or readiness reports?

· Can you assist with managing AED expiration dates and recall notices?

5. Response Time and Support

· What is your response time for emergency servicing or device malfunction?

· Do you offer 24/7 support or only during business hours?

6. Parts and Replacement

· Do you provide OEM (original equipment manufacturer) parts?

· Do you stock replacement batteries and pads for the AED models we use?

· How are supply chain issues handled? Please include discussion of back ordered items and if your company maintains an in-house inventory or supplies.

7. Software and Firmware

· Will you check and update AED firmware if needed?

· Are you equipped to handle all AED brands and models we use?

8. Training and Education

· Do you offer training or support for our staff on AED use and maintenance?

· Can you help with AED program management or readiness assessments?

9. Insurance and Liability

· Are you insured, and does your service include liability coverage for the devices you maintain?

· Do you indemnify your clients in case of servicing errors?

10. Cost and Contracts

· What is your pricing structure (one-time, annual contract, per device)?

· Are there hidden fees for emergency service or after-hours calls?

11. Performance Work Statement
