About this file

This is an Excel-based Request for Proposal (RFP) 3413-26 from Aurora Public Schools (APS) for a Districtwide Furniture Program, seeking to establish pre-qualification for two vendor pools: Full-service (PFV) vendors for new school furnishing and Category-Specific Vendors for 2024 Bond and as-needed non-bond projects. The RFP requires vendors to complete multiple spreadsheet tabs including a Pricing Spreadsheet, Typical Room Package Template (for PFVs), Category Coverage Matrix, and a Pool Declaration & Checklist. Vendors can propose for either the PFV pool, Category Vendor pool, or both, with the opportunity to provide furniture for various educational spaces such as classrooms, science labs, libraries, administrative offices, early learning environments, and specialty instructional areas.

For PFV vendors, minimum qualifications include demonstrating capacity for full K-12 turnkey furnishing, completing three comparable K-12 FF&E projects in the last five years, having warehousing near APS, providing a dedicated project manager and onsite lead installer, and maintaining a warranty/service infrastructure covering the Denver metro area. Pricing requirements mandate vendors provide MSRP, discounts, net unit prices, lead times, quick ship options, and installation costs. Vendors must detail volume discounts, cooperative contract options, and warranty information. The RFP emphasizes comprehensive pricing transparency, with instructions for SKU-level pricing, room package benchmarks, and installed pricing, allowing APS to evaluate vendors' capabilities across different educational furniture categories and installation approaches.

A - Instructions

Tab A – Pricing Spreadsheet (ALL Offerors): Complete if proposing PFV or Category (or both). PFV: include typical room package benchmarks & installed pricing. Category Vendors: provide SKU-level pricing by category/manufacturer. If proposing both pools, complete all applicable sections.
APS Pricing Spreadsheet (Attachment A) – Instructions
Use this workbook to submit pricing for all categories/manufacturer lines you are proposing.
Complete the 'Pricing (Attachment A)' sheet. The 'Coverage Matrix (Optional B)' is provided if you also wish to summarize category/manufacturer coverage (not required for this deliverable).
Key rules:
1) Enter one line per SKU (or per configuration if SKUs vary).
2) Provide MSRP and either a Discount % off MSRP OR an Installed Not‑to‑Exceed (NTE) price.
3) If providing Discount %, the Net Unit Price will auto‑calculate if you also enter a sample MSRP; otherwise leave formulas for APS to verify.
4) Mark if pricing is via a Cooperative. If so, enter co‑op name and contract number in the Co‑Op fields.
5) Indicate lead times in weeks. For Quick Ship items, mark Yes and enter typical Quick Ship lead time.
6) If installation is separate, provide Install % (as a % of Net Unit Price) OR an Installed NTE Price.
7) Use the Volume Discount table to indicate thresholds and additional discounts for larger orders.
Fields marked with * are required.
