About this file
This is a Standard Operating Procedure (SOP) document for Supply Technician Order Picking at the Pueblo Public Documents Distribution Center (PuDDC), issued January 10, 2018, version 1.5. The document provides comprehensive operational guidance for supply technicians employed in the Order Filling & Warehouse (OF&W) section on cost code 9423.
The SOP establishes procedures for picking, packaging, and preparing publication orders for shipment. Supply technicians receive daily work assignments that rotate among multiple duties, obtain batched orders from Lead Supply Technicians via the DOTS Pick Station Module (PSM) computer system, and hand-pick items according to pick lists and order IDs. Packaging requirements are weight-based: orders 0–1 lb use regular envelopes; 1–6 lb use Tyvek envelopes or Jet-Lite bags; 6+ lb use regular boxes; special orders use specialized packaging. Address labels must be centered on boxes, Jet-Lite bags, bubble mailers, and mailing tubes, while placement on regular and Tyvek envelopes is restricted to no more than 1 inch below the vertical centerline and 1 inch right of the horizontal centerline. Orders destined for PO Boxes, foreign addresses, or APO/FPO addresses proceed to metering stations; all others receive UPS Worldship shipping labels. The document specifies tools (box cutter), equipment (tape dispensing machine, void fill machine, bag-sewing machine), quality control requirements (picking accuracy verification, undamaged package inspection), and end-of-day activities including production reporting and area maintenance. New employees must complete a training checklist covering safety, work procedures, quality control, and maintenance before performing order picking operations independently.

1 Purpose
The purpose of this Standard Operating Procedure (SOP) is to ensure uniform implementation of OF&W SOP (Supply Technician Order Picking) by personnel in the order filling section. The information contained in this SOP will facilitate training for new supply technician personnel and provide an effective support platform for more experienced staff.

3 Work Procedures and Instructions
The Order Filling Supply Technicians pick, package and prepare mailings for the order fulfillment process within the facility. Tasks include the picking and packaging of the various publication orders, stocking the picking bins and preparing the mailings for shipment.
The normal duties of the Order Filling Supply Technician are assigned daily. The daily work assignments will change each day to ensure every employee rotates through each duty.
Typically, the Supply Technician will receive batched publication orders from the Lead Supply Technicians and will hand pick and pack each order. The metering of the orders for the United States Postal Service will also be assigned as needed.

3.1 Obtain Daily Work Assignment
3.1.1 Check the Daily Work Schedule board at the start of the workday to verify the work assignment for that day and again at the end of the day to prepare for the next days work assignment
3.1.2 Verify the work assignment with the Lead Supply Technician
3.2 Identify Orders to Fulfill from the Computer
3.2.1 Log on to the computer at the assigned workstation
Date: January 10, 2018 Page 5 of 13
3.2.2 Open the Pick Station Module on the desktop screen
3.2.3 Select pick station desktop
Date: January 10, 2018 Page 6 of 13
3.2.4 Click on the batched order to populate the order ID section
3.2.5 Click on the order ID to highlight the first order
Date: January 10, 2018 Page 7 of 13
3.2.6 Press enter on the keyboard to print the pick ticket, label and invoice for that order.
Note: if the order requires more than one package print extra labels for each additional package
3.2.7 The pick list identifies which items to pick for the order
3.2.8 Press enter on the keyboard to print the next order’s paperwork (no more than 3 pick orders may be printed at one time unless told otherwise by the lead technician or supervisor) once the previous order has been packed (section 3.3)
3.2.9 Do not “cherry pick” orders or batches (select the orders that are easiest). Work the batches/orders in the order that they appear in PSM.
3.2.10 If there is not enough stock in a particular bin to fill the order you are working, check the Restock Bins Report in ICM.
Date: January 10, 2018 Page 8 of 13
3.2.11 If the item you need to fill the order is on the restock report, you should have the stock you need within 20 minutes. In the meantime, you should continue to work on the order, put it aside and begin another order, stock your picking bins, etc.
3.2.12 If the item you need is not on the restock report, notify the lead technician or supervisor immediately, and they will contact the Material Handlers to obtain your stock. If you cannot find the lead technician or supervisor you should contact one of the Material Handlers – this is the only time you should pass your requests directly to them instead of the tech/supervisor.
3.3 Pick and Pack the Orders
3.3.1 Package the order in the appropriate size/type package.
• 0 to 1 lb order weight = regular envelope
• 1 to 6 lb order weight = Tyvek envelope or Jet-Lite bag
• 6+ lb order weight = regular box
• Special order type = special packaging
3.3.2 Attach the address label to the package, if there is more than one package for the order make sure all packages have labels.
• For all box types, Jet-lite bags, bubble mailers and mailing tubes center the address label on one side
• For regular and Tyvek envelopes, place the address label no more than 1 inch below the vertical centerline and no more than 1 inch to the right of the horizontal centerline
• See Appendix B for examples
3.3.3 If the package is going to a PO Box, a foreign address, or an APO/FPO address, load the packaged and addressed orders into the green mail totes and send them down the line to the metering station.
