About this file

This document is a solicitation for hotel services to support a Federal Training Conference for the USDA Farm Service Agency (FSA) Texas State Office.

The USDA FSA is seeking a hotel capable of hosting an FSA Program Training event scheduled for the week of August 24-28, 2026, in the College Station, Texas area. The training will accommodate 360 government employees in classroom-style setup over three consecutive training days (August 25-27, 8AM-5PM) with travel days on August 24 and 28. The hotel must provide meeting room rental and audiovisual equipment including: a head table/stage with podium and microphone, WiFi capabilities, power access with powerstrips for attendee laptops, two floating microphones, two presentation screens, and AM/PM breaks. Room block requirements total 1,250 rooms across four nights (350 rooms each for Days 1-3, and 200 rooms for Day 4). The hotel shall provide a quote for meeting room rental and audiovisual equipment use; however, individual room rates will not be paid through the contract, as government employees are responsible for their own lodging costs paid directly to the hotel. The hotel must offer to block off rooms, with government employees contacting the hotel individually post-award to reserve accommodations. The Point of Contact is Eddie Trevino, Deputy SED, at 979-571-0058 (cell).
