Introduction
The 45th Space Wing Air Quality & Storage Tank Program Manager (and/or F2F contractor) is required to perform at least MONTHLY data updates into the APIMS and STAR databases. This guide will provide a complete guide to data collection, data entry and emissions calculations.

EESOH-MIS Interface
1) Data Configuration Details:
EESOH-MIS data is utilized to calculate air emissions from Miscellaneous Chemical Usage and Pesticide / Herbicide Application. To support these calculations, EESOH-MIS is managing approximately 900 processes. In order to calculate for each of these processes in APIMS, we group the sources to parent processes for each source category. The table below provides the details of the roll-up processes.

2) Running the Interface:
a. Contact your Hazmart manager and ask them to execute the APIMS Interface in the EESOH-MIS application. If they need assistance in figuring out how to do this you can have them contact the APIMS Help Desk or the EESOH-MIS Help Desk.
i. The data transfer between the 2 databases is automatic, and runs each day at 8 PM Mountain Time, so it is probably best to run the interface overnight and configure the newly imported data the next morning. We recommend you run the interface once a month.
b. Configuring new EESOH-MIS processes.
i. To determine if a new process has been added by the EESOH-MIS Interface follow these steps:
1. Log into APIMS and navigate to the Reports module.
2. From the reports decision page click on the “SAP Business Objects” link.
This will open a new Internet Explorer window.
3. From this page, to view existing reports, click the Documents tab.

4. Click on the Folders bar at the bottom of the browser window. Once the Folders bar has been clicked, the Public Folders will be displayed. To view the sub-folders, click the icon to expand the selection.

5. Navigate to the Public Folders >> Public APIMS Reports >> Installation Reports >> Cape Canaveral AFS. Locate the report named Unmapped EESOH Processes. Double click the report to open the report.
6. Once the report is opened, click the refresh icon to get the most recent results.
7. For each process that shows up in the report the following steps should be completed:
a. Assign APIMS Source Category – For many processes the process name is the first clue. In general, for pesticide and welding processes the name will make it obvious (e.g. CE Welding, Pesticide Application, Small Area Spraying). If you can’t determine the process type from the process name, look at the Authorized Materials on the process. This assignment can easily be done in the Unique Process module of APIMS.
b. Assign a Facility to the new processes – This assignment can easily be done in the Unique Process module of APIMS.
c. Assign the Mobile Source Flag to the new processes – This assignment can easily be done in the Unique Process module of
APIMS.
d. Associate the new process to the appropriate roll-up process – This association is done on the Information sub-tab in the Edit Process Information page as shown below.

c. Validating EESOH-MIS usage data
i. All usage data inserted by the EESOH-MIS Interface is not validated, and will not be included in an emission calculation until you review the data and validate the usage records.
ii. Navigate to the Consumption module of APIMS.
iii. Enter the search criteria shown below to find all miscellaneous chemical usage records for validation. Once the criteria are correct, click the “Search” button.
Type the Unique ID for the appropriate roll-up process in the Next Higher Process field.

iv. On the Search Results grid check the top box to validate all records.
v. Some general chemical processes include materials such as heavy lubricants/oils, greases, hydraulic fluids, glycol deicers, batteries, and non-solvent aqueous cleaners. These products do not emit pollutants due to how they are used. For example, brake fluid and motor oil are poured into closed

8 | P a g e systems and are not exposed to the air, eliminating the possibility of evaporation/emission to the atmosphere. The Global Filter capability can be used to identify rows of these products (e.g., antifreeze, brake fluid, engine oils, hydraulic fluids etc.). Once the rows are identified, uncheck the box to not validate these rows, to ensure they are not included in the emissions calculations.
vi. Enter the search criteria shown below to find all pesticide usage records for validation. Once the criteria are correct, click the “Search” button.

vii. On the Search Results grid check the top box to validate all records.
After checking the box to validate all records be sure to click the “Save” button.

2) Operational Data Source:
Operational data for the abrasive blasting data is provided by the CLOIS environmental support staff. The data necessary to calculate emissions is the pounds of blast material used or added to the hopper.
3) Validating Operating Emission Sources:
a. Navigate to the Unique Process module of APIMS.
b. In the Source Category search field, type “ABCL”. Select the row for Abrasive Cleaning from the AJAX search results and then click the “Search” button.
c. The search results grid will display all abrasive cleaning processes that have ever been configured in your database.
d. At the search results grid, ensure that the Status column is accurate for each of the blast units (Inactive for those that have been removed, Active for those that are in use).
4) Recording Usage:
a. Navigate to the AEI Throughputs module of APIMS.
b. Select the appropriate AEI year from the AEI Year drop down.
c. Click the Search button.
d. Click the edit icon next to “ABCL” to begin recording usage.
e. On the Monthly Throughputs tab, select the radio button next to the Process UID, this will then display a grid below.
f. Enter the amount of blast media in pounds added to the hopper during the month and select “LBS” from the unit of measure list.
g. Click the “Save All Records” button.

Operational data for the cooling towers are provided by CLOIS (Clay Broadhead & Mark Allison) and NRO (Eric Johnson & Monet Allen). The data necessary to calculate emissions is the number of days in the month.
3) Validating Operating Emission Sources:
a. Navigate to the Unique Process module of APIMS.
b. In the Source Category search field, type “COOL”. Select the row for Comfort Cooling
Towers from the AJAX search results and then click the “Search” button.
c. The search results grid will display the COMFORT COOLING TOWERS process. Click the edit icon next to the process.
d. This will navigate to the Edit Process Definition screen. Click the Equipment tab to see the list of cooling towers associated to this process.

e. Compare this list to the list provided by the HVAC shop. Make sure to add or remove any cooling towers as needed to maintain an up to date inventory.
f. Once the inventory is up to date, run the Boiler and Cooling Tower Capacity report in Business Objects to obtain the updated Total Flow Rate.
g. Navigate to the Calculation tab, end date the current WFR Calculation Parameter and enter a new one for the appropriate date with the updated Total Flow Rate.
b. Select the appropriate AEI year from the AEI Year drop down.
c. Click the Search button.

Solvent degreasing operations are spread across a variety of organizations in a number of buildings around the facility. The shops using solvent degreasing parts washers provide the equipment and usage data. The data needed from them includes the list of active solvent degreasing equipment, solvent being used, and the quantity of solvent added to the equipment monthly. This is currently tracked by CLOIS & NOTU using the CCAFS Degreasing spreadsheet;
this data should be collected monthly and entered into APIMS by the AQPM/F2F contractor.
b. In the Source Category search field, type “DEGR”. Select the row for Degreasing/Solvent
Cleaning from the AJAX search results and then click the “Search” button.
c. The search results grid will display all solvent degreasing processes that have ever been configured in your database.
d. At the search results grid, ensure that the Status column is accurate for each of the solvent degreasing processes (Inactive for solvent tanks that are no longer in use, Active for those that are still operating).
b. Select the appropriate AEI year from the AEI Year drop down.
c. Click the Search button. Click the edit icon next to “DEGR” to begin recording usage.
d. On the Monthly Throughputs tab, select the radio button next to the Process UID, this

Emergency generator data is obtained from the following sources:

The data needed from them includes the list of active emergency generators at the facility, along with the monthly hours of operation for each unit and each operation type (emergency or maintenance and testing). The CLOIS contractor obtains the data and enters this data into
APIMS.
7) Validating Operating Emission Sources:
b. In the Source Category search field, type “ICOM”. Select the row for Internal
Combustion from the AJAX search results and then click the “Search” button.
c. The search results grid will display all emergency generators that have ever been configured in your database.
d. At the search results grid, ensure that the Status column is accurate for each of the emergency generators (Inactive for units that have been removed, Active for those that are still in operation).
8) Recording Usage:
b. Select the appropriate AEI year from the AEI Year drop down.
c. Click the Search button.
d. Click the edit icon next to “ICOM” to begin recording usage.

f. Once the engine is selected, the Enter Usage for Authorized Materials grid will appear.
Populate values for both Maintenance/Test and Emergency for each month. If no emergency hours occurred, enter 0 for that month.
g. Click the “Save All Records button.
h. Repeat steps e through g for all engines.

Recording Usage:
a. Navigate to the IC Engine Log module of APIMS.
b. Input the appropriate AEI year in the Year option.
c. Select the Validated Usage radio button.
d. Click the Search button.
e. Click the edit icon next to “Equipment ID” to begin recording usage.

f. Once the engine is selected, the Enter Start Date/Time and End Date/Time. Select the appropriate type of operation (Emergency, Non-Emergency or Maintenance). Select the “Hours of Operation” radio butt and enter values. If no emergency hours occurred, enter 0 for the month. Enter any specific description or comments that are appropriate.
Repeat engine log for each type of engine usage for the respective month (Emergency, Non-Emergency or Maintenance).
g. Do not select the “Yes” radio button to Validate Runtime. Validation will be completed by the Air Program Manager or F2F Contractor.

NRO maintains the inventory of diesel and natural gas boilers at their facilities. NRO is able to provide a current inventory of natural gas and diesel boilers under their control. The monthly natural gas and diesel used by NRO maintained boilers is tracked using the NRO spreadsheet.
The HVAC shop should be able to provide a current inventory of the basewide natural gas and diesel boilers (all other boilers on base that are not maintained by NRO). The total natural gas usage for the installation is obtained from Suzanne Hudec in the CCAFS Natural Gas Usage spreadsheet. This data is then entered into APIMS by the Fence 2 Fence contractor.
b. In the Source Category search field, type “ECOM”. Select the row for External
Combustion from the AJAX search results and then click the “Search” button.
c. The search results grid will display all groupings of BOILERS processes. Click the edit icon next to the process.
d. This will navigate to the Edit Process Definition screen. Click the Equipment tab to see the list of boilers associated to this process.

e. Compare this list to the list provided by NRO or the HVAC shop. Make sure to add or remove any boilers as needed to maintain an up to date inventory.
f. Once the inventory is up to date, run the Boiler & Cooling Capacity report in Business Objects to obtain the updated Total Capacity.
g. Navigate to the Calculation tab, end date the current Calculation Parameter and enter a new one for the appropriate date with the updated Total Capacity.

Fire fighter training is done by the Fire Department. To support the air emissions inventory the shop should provide the total gallons of propane used each year. Typically the data is provided in the number of pounds of each fuel. To convert the pounds of propane into the gallons of propane, divide by the propane density of 4.24 pounds per gallon.
b. In the Source Category search field, type “FIRE”. Select the row for Fire Training from the AJAX search results and then click the “Search” button.
c. The search results grid will display all fire training processes that have ever been configured in your database.
d. At the search results grid, ensure that the Status column is accurate for each of the fire training processes.

The bulk fuel transfer activities are supported by fuel storage tanks. The authoritative data source for most fuel storage data is the LB&B contractor. LB&B personnel must complete the first tab in the CCAFS_COCO_Fuel_usage.xlsx Excel file. Data is also needed from the CLOIS contractor and NRO, and is provided in a separate Excel files.
b. In the Source Category search field, type “FDSP”. Select the row for Fuel Dispensing from the AJAX search results and then click the “Search” button.
c. The search results grid will display all fuel dispensing processes that have ever been configured in your database.
d. At the search results grid, ensure that the Status column is accurate for each of the fuel dispensing operations (Inactive for fuel dispensing activities that no longer occur, Active for those that are still occurring).
e. Repeat these steps for the Source Category “FLD” (Fuel Loading Racks) processes.
a. Provide the CCAFS_COCO_Fuel_usage.xlsx spreadsheet to the LB&B contractor for completion.
b. When you receive the completed spreadsheet, navigate to the AEI Throughputs module of APIMS.
c. Select the appropriate AEI year from the AEI Year drop down.
d. Click the Search button.
e. Click the edit icon next to “FDSP” to begin recording usage.

f. On the Monthly Throughputs tab, select the radio button next to the Process ID that matches the Unique ID provided in the spreadsheet. This will then display a grid below.
g. Enter the total gallons used during the month specified and select “GAL” from the unit of measure list.
h. Click the “Save All Records” button.
i. Repeat steps f through h for all processes in the CCAFS_COCO_Fuel_usage.xlsx spreadsheet.
j. Repeat steps f through h for all processes in the CLOIS contractor and NRO spreadsheets.
k. Repeat these steps for the Source Category “FLD” processes.
Below is an example of the CCAFS COCO Monthly Fuels spreadsheet.

Fuel Storage Tanks
Fuel storage tanks are slightly different than all other emission sources managed in APIMS. The centerpiece for all storage tank management is the tank itself. All storage tank definitions are managed in the Storage Tank module of APIMS. When the storage tank is created it automatically creates the process and manages that process from that point forward.
The contractor, LB&B, tracks most fuel storage. LB&B personnel must complete the first tab in the CCAFS_COCO_Fuel_usage.xlsx Excel file.
3) Recording Usage:
a. Provide the CCAFS_COCO_Fuel_usage.xlsx spreadsheet to LB&B for completion.
b. When you receive the completed spreadsheet, navigate to the Tank Usage Log module of APIMS.
c. Enter the Tank ID from the spreadsheet into the Air Tank ID search field.
d. The usage history for the tank will appear in the search results grid. If there is already a record for the current year, click the edit icon. If there is not a record for the current year, click the copy icon for the most recent year, this will create a usage record for that year.
e. Once in the Edit Tank Usage Information screen, navigate to the Usage tab.
f. For your data, usage will be entered on a monthly basis so enter the specific throughput for that month as listed in the Tank Usage Log table of the spreadsheet.

There is no need to validate operating emission equipment for this source. With the Refrigerant Module, the HVAC shop will keep the equipment inventory accurate in APIMS.
All usage records are automatically created when the HVAC shop creates Service Records in the Refrigerant module.

d. At the search results grid, ensure that the Status column is accurate for each of the spill and release processes.
4) Recording Usage:
a. Navigate to the AEI Throughputs module of APIMS.
b. Select the appropriate AEI year from the AEI Year drop down.
c. Click the Search button.
d. Click the edit icon next to “SPRL” to begin recording usage.
e. On the Monthly Throughputs tab, select the radio button next to the process that matches the fuel you are recording, this will then display a grid below.

Surface coating operations are conducted in paint booths in building 44645, corrosion control, and Complex 46. The units maintain manual logs for consumption and are entered into APIMS by the shop personnel at CLOIS contractor and RGNext, respectively. The processes that come from EESOH-MIS have been set to exclude the consumption to ensure there is not double counting of materials. Each shop should have a manual paint booth log that the paint, amount and date they used it.
b. In the Source Category search field, type “SURF”. Select the row for Surface Coating from the AJAX search results and then click the “Search” button.
c. The search results grid will display all surface coating processes that have ever been configured in your database.
d. At the search results grid, ensure that the Status column is accurate for each of the surface coating processes (Inactive for paint booths that are no longer in use, Active for those that are still operating).

a. Log into APIMS and navigate to the Consumption module.
b. Click the Create Consumption link at the bottom of the landing.
c. In the field for Process ID type “SURFACE COATING” and select the row from the AJAX results box for the paint booth process you want to record.
d. Either type in the dates, or select them from the available calendars. For your data, usage will be entered on according to the paint booth logs with the specific date and time documented.
e. Type the NSN you are documenting in the NSN field.
f. Enter the amount of paint used and select the specific volumetric units of measure (GAL, QT, PT or FL OZ) from the unit of measure list.
g. Select “Yes” for the Validate Consumption field.
h. Click the “Save” button.
i. Repeat steps b through h for all paints, dates and paint booths.
5) Data Validation
a. Each entity that operates a paint booth must validate their monthly paint usage. The validation is to ensure no entry errors took place and to make sure the paint usage meets air exemption thresholds.
6) Compliance Assessments:
a. The Paint Booth Operator Monthly Checklists should be completed by the operators of the respective paint booths on a monthly basis. These checklists should show up in the operator’s workbasket.
b. To view the assessments, go to the Compliance Assessment module in APIMS.

7) Unique Process ID 21286 – Aerosol Painting – Corrosion
a. Based off the Issue Number and EESOH Detail Product ID, it appears UID 21286 and it’s usage records were brought over by the EESOH-MIS Interface. And the process will likely not show up under mis-chem because it has a SURF source category with no CHEM “next higher process” assigned. Since it looks like CCAFS prefers to enter most of their SURF consumption by hand, you can choose to not receive consumption data from the EESOH-MIS Interface for UID 21286 by navigating to the process’s Information tab and selecting ‘Yes’ to ‘Exclude Consumption records from EESOH-MIS Interface.’ But would also be fine to leave it as is, since it looks like this process is set up correctly to calculate SURF emissions.

7) To Add Paint Material to Paint Booth using NSN:
a. Materials > Material Product > Search Material Product and paste the NSN # into the NSN Column. If NSN is already in APIMS then:

Woodworking operations occurs in building 44600 and 62640. CLOIS and NOTU (Lockheed Martin contractor) should be able to provide monthly updates in their spreadsheet of the number of times that they empty the collection drum from the dust control system. To convert the gallons of sawdust into the pounds of sawdust, multiply by the average density of sawdust of 2.00 pounds per gallon. The F2F contractor will enter the usage into APIMS.
b. In the Source Category search field, type “WOOD”. Select the row for Woodworking from the AJAX search results and then click the “Search” button.
c. The search results grid will display all woodworking processes that have ever been configured in your database.

Emission Calculations
1) Readiness to Execute Emission Calculations:
a. Ensure that all EESOH-MIS processes have been mapped to the appropriate roll-up processes. (See pages 1 – 5 for steps to map EESOH-MIS processes)
b. Ensure all usage data inserted by the Interface has been validated at the Consumption log. (See pages 6 – 12 for steps to validate usage)
c. Ensure all other operating emission sources have been validated.
2) Calculating Emissions for Stationary Sources:
a. Navigate to the Emission Calculation module of APIMS.
b. Type “STATIONARY” in the search field for Calculation Name and select the row for
STATIONARY SOURCE EMISSIONS from the AJAX search results box.
c. At the Search Results grid select the row and click the “Edit/View” button.
d. On the Edit Emission Calculation Definition page click on the “Runs” tab as shown in the screen below.
e. The Search Results grid will show each year that the calculation has been run for. To execute the calculation for a new year click the “Create” button.
f. On the Create Emission Calculation page enter the date range to execute the calculation for (e.g. Start Date = 2018/01/01 and End Date = 2018/12/31), and select “Yes” for the

g. Click the “Save And Calculate” button.

4) Calculating Emissions for Storage Tanks:
a. Navigate to the Tank Emission Calculation module of APIMS.
b. Click the “Create Tank Emission Calculation” link.
c. Enter the calculation name of “<YEAR> TANK EMISSIONS”.
d. Enter the year to calculate for.
e. Select the Calculation Method of “Calculate for selected months only” and check the box for “All Months”.
f. Once all calculation definition parameters have been set (see screen shot below), click the “Save” button.

g. On the Edit Tank Emission Calculation page click the “Tanks” tab.
h. On the “Tanks” tab, click the “Create” button to associate all fuel storage tanks to the calculation.
i. The filter page will display all tanks that have had usage recorded for the calculation year. Check the box to add all tanks to the calculation and click the “Save” button. This action will navigate you back to the “Tanks” tab and show all tanks now associated to the calculation.
j. Click the “Calculate” button.

Submitting Your AEI
1) Navigate to the Emission Inventory Submittals module of APIMS.
2) The Search Results grid will show all AEI’s that have been submitted for Cape Canaveral.
3) Click the “Create” button.
4) Select AEI-COMPREHENSIVE STATIONARY AEI from the dropdown list for Report Type
5) Type “Cape Canaveral” in the Facility field and select the record from the AJAX results.
6) Enter the date range to be used to filter available calculations. (e.g. Start Date = 2018/01/01 and
End Date = 2018/12/31)
7) Click the “Save” button.
8) On the Calculations to Include page, check the box to include both calculations that are displayed in the grid and click the “Save” button.
9) Navigate to the “Tank Calculations to Include” tab.
10) Click the “Add Calculations” button.
11) Using the search field, find the tank calculation for the AEI Year you are submitting.
12) Check the box to include All Months.
13) Click the “Save” button.
14) Navigate to the “View Summary” tab.
15) Click the “Stage” button. It usually takes 1-3 minutes for the data to stage so periodically click the circular blue arrow to refresh the page until the Excel file icon appears.
16) Click the “Publish” button.
