About this file

This is an Addendum A document issued by the Mississippi Department of Transportation (MDOT) Procurement Division in response to a sealed bid solicitation for the lease of one modular office trailer for the Hazelhurst Project Office. The addendum addresses ten bidder inquiries and provides clarifications on specifications, including confirmation that ceiling fans are required in all four offices, smart panel siding is acceptable as an alternative to aluminum siding, the doublewide trailer must be in like-new condition rather than brand new, vented skirting on all sides is acceptable, and vinyl-covered gypsum walls are permitted instead of wood paneling. MDOT confirmed responsibility for site preparation and utility connections, with the trailer site to be located on crush stone in a flat area. The addendum also announces a postponement of the bid opening date from Wednesday, May 13, 2026, to Wednesday, May 20, 2026, both at 10:30 a.m. CST. The contract term extends from July 1, 2026, through June 30, 2027, with an option for MDOT to extend the lease for up to twenty-four additional months in twelve-month increments, not to exceed thirty-six months total.

The addendum includes a Standard Contract Addendum for bidders who wish to use their own rental equipment contract terms and conditions in lieu of MDOT's Agency Contract, subject to MDOT's approval. Bidders are required to submit Addendum A with their sealed bids and must provide pricing for three line items: setup cost, monthly lease cost, and tear-down cost, with any blank line items resulting in bid rejection. Award will be made to the lowest total bid meeting all MDOT specifications. Bidders must be registered with the State of Mississippi, provide manufacturer certification of compliance with federal health and safety regulations, and submit a W-9 form prior to contract award. The vendor is responsible for all maintenance, repairs, warranty work, and securing physical and vandalism damage insurance, with MDOT's liability limited to a maximum deductible of $1,000.00 for damage determined to be MDOT's fault.
