About this file

This is Addendum 1 to a bid specification document for mobility shelving units for the Maine Department of Revenue and Vehicle Services (DRVS) office move. The addendum clarifies specifications for 4-post fixed storage units and shelving systems designed for vital records storage. For the large storage unit, two-thirds of shelving must be full-depth shelving with center stops constructed of 22-gauge or optional 18-gauge steel box rolled formed material, while one-third must be back-to-back shelving. The smaller storage unit requires 100 percent full-depth shelving with center stops. All carriages must be constructed of minimum 12-gauge steel with 1,000 pounds per linear foot minimum capacity; the addendum revises the original specification to allow either welded or bolted carriage construction, provided welded carriages meet or exceed minimum specifications and include warranty documentation. The plywood decking must be tiled or painted to create a non-skid surface and will be included in the bidder's quote. Flooring covering for the large storage unit is to be supplied by the owner unless included in the base bid price at no additional cost.

The addendum addresses installation requirements and timeline, noting that bidders using grouted rail or raised deck systems must guarantee anti-tip design for safety and longevity. Bidders are responsible for carpet removal to accommodate the larger storage system and must work with the purchaser's representative to minimize damage and unnecessary carpet removal. The installation target date may be revised based on realistic project estimates, product arrival, and accommodation of the moving schedule. The successful bidder is expected to complete the project in the shortest timeframe possible while maintaining quality standards.

Addendum 1 Section XXXXX – 4-Post Fixed Storage Units F. Supported type 1 Full-depth shelves : Full-depth shelves are made of box rolled formed 22‑gauge steel, with “Four Bend” ¾” edge construction which adds additional strength and capacity as well as it creates a hidden safety edge to protect people and items. The full-depth shelves are supported by two longitudinal shelf supports and the appropriate number reinforcement channels. Shelves are also available in 18-gauge steel as an option.

Note: Two thirds (2/3) of all shelving in the large storage unit proposal may be full-depth shelving with center stops. One third (1/3) of shelving in the large storage unit proposal must be back to back.

Note: One hundred percent (100%) of the shelving in the smaller storage unit must be full-depth shelving with center stops.

Shelving Specifications for Vital Records Storage D.1.e. Floor covering is to be installed and supplied by the Owner.

Flooring covering for large storage unit to be supplied by owner; unless included in the base price of the bid at no extra cost to purchaser. Flooring on the large storage unit must be a non-slip surface and does not necessarily need to be carpeting.

The plywood decking of either system must be either tiled or painted to result in a non-skid surface and will be included in the bidders quote.

E. Carriages

1. All carriages shall be riveted construction for flexibility. Welded carriages are unacceptable. Carriages and stationary platforms shall be constructed of minimum 12-gauge steel. 1000 pounds per linear foot minimum capacity.

Note: Bid specifications indicate that welded carriages are unacceptable. After site visit and discussion with bidders the following addendum to bid specifications are allowed. The mobile or static shelving units can be either welded or bolted. If welded carriages are used bidder must specify within the bid documents and warranty that they meet or exceed minimum specifications.

Note: Bids for shelving installed using grouted rail or raised decks must guarantee anti tip design for maximum safety and longevity of the shelving system. The plywood decking of either system must be either tiled or painted to result in a non-skid surface and will be included in the bidders quote.

Note: Bidder will be responsible for removal of carpeting to install the larger storage system. The bidder will attempt to mitigate the damage and amount of carpet necessary to remove for the installation by working with a representative of the purchaser at time of bid award or before the installation.

Revised installation target date: The successful bidder will do their best to get the job completed in the shortest span of time possible to target date. That targeted dated may be revised based on realistic estimate to accomplish the necessary changes to the office space and based upon arrival of product and accommodating moving schedule.
