About this file
This is Addendum #1 to a Request for Proposal (RFP) issued by the City of Madison, Wisconsin Finance Department Purchasing Services for Fully Accessible Playground Equipment (RFP #8649-0-2017-BO). The City of Madison seeks proposals from vendors for playground equipment designs to replace an existing community-level playground at Elver Park, anticipated for construction in 2018. The selected equipment designs will be presented to the neighborhood as options, and once the neighborhood selects a design, the City will work with the chosen equipment vendor to adjust the design for specific site requirements and neighborhood requests. The final playground design must fall within the City's established budget. Construction of the playground, including equipment installation and procurement and installation of poured-in-place surface, will be bid separately under a future Public Works contract. Bidders must acknowledge receipt of this addendum on RFP Form B, Receipt Forms and Submittal Checklist.
The addendum provides clarifications to bidder questions regarding RFP submission requirements. The exact site location and playground square footage have not been determined; these will be finalized during the neighborhood design selection phase. Proposers must submit electronic and 11"x17" illustrations as part of their initial RFP submittal; presentation boards are neither required nor desired at this stage but may be requested by the awarded vendor for neighborhood meetings. Drawings of standalone components shall be submitted separately from rendered plans. The City will consider all proposals received and does not maintain a pre-selected vendor list. Interested vendors should direct inquiries to Brittany O'Donnell, City of Madison Purchasing Services, at (608) 243-0529 or bodonnell@cityofmadison.com.

RE: ADDENDUM #1
8649-0-2017-BO
Fully Accessible Playground Equipment
Notice to All Bidders:
Please note the following responses to the questions received:
Question 1: Will you be providing a site map as you did for Brittingham Park? Just looking for the general desired area of the new playground, any existing utility locations, or other existing items like trees that you would like to keep within the playground area.
Answer 1: The exact site location will be determined at a later date. See proposal language, “The intent of this proposal is to select equipment designs that will be presented to the neighborhood as options for their playground. Once the design is selected by the neighborhood, the City shall work with the selected equipment vendor to adjust the design as necessary for the specific site requirements and per neighborhood requests.
This final playground design shall fall within the budget established by the City. Construction of the playground, including installation of the playground equipment and procurement and installation of poured-in-place surface, shall be bid under a separate Public Works contract.”
Question 2: Do you have an estimated square footage that you would like to keep the playground within?
Answer 2: No.
Question 3: Will there be sidewalks installed all the way around the playground?
Answer 3: This has not yet been determined.
Question 4: I have submitted a physical color set with another playground proposal. Can I just provide color options on paper, or do you want another physical set?
Answer 4: Paper is fine; we will use the existing physical color set that you submitted.
Question 5: Should we provide 22x34 or 24x36 presentation boards? That section of the RFP slightly contradicted itself, and I just want to make sure that I provide what you are looking for?
Answer 5: The proposer shall submit electronic and 11”x17” illustrations. See proposal language, “Following selection of vendors under this RFP, upon award the final vendor shall submit either 22”x34” or 24”x36” presentation-style board showing the selected equipment to take to the neighborhood meeting. Please note that presentation boards are neither required nor desired as part of the initial RFP submittal.”
Question 6: Should we show the additional standalone components on our plan/ presentation board?
Answer 6: No. Stand alone components may be potentially interchanged or added to the playground structure.
Drawings of standalone components shall be separate from the rendered plans and illustrations.

Answer: The City will open all proposals that it receives as part of this Request for Proposal – Fully Accessible Playground Equipment RFP #8649-0-2017-BO.
Bidders must acknowledge receipt of this addendum accordingly on RFP Form B, Receipt Forms and Submittal Checklist.
