Questions USHMM Response

Does the USHMM anticipate using a COTS software solution or a custom built software solution?

We expect a COTS with minimal customizations.

Would a sole source option be considered for this solicitation if an 8(a) meets all the requirements?

This solicitation is full and open with no small business set-aside.

Is there an incumbent contractor currently providing these services? If yes, please provide us with the contract details?

Legacy homegrown system

What are the other systems that the USHMM currently uses that need to be compatible with the proposed solution?

Google G-suite

Will this solution need to fit into the existing ecosystem? Will there need to be offline capabilities? Or non-USHMM access?

The new solution shall fit into the GSuite ecosystem. See also answers to questions #6, 14, 15 and 16. Non-USHMM access is not required.

Will the reservation system require availability of web, mobile and social analytics?

Yes

What will be the contract value for this opportunity? We select best value, please submit your most reasonable pricing.

Are you expecting this project to be implements with a COTS (Commercial Off The Shelf) system with minimal customization, or a full custom solution developed by the contractor?

We expect a COTS with minimal customizations.

What is the current system being used for this functionality? Legacy homegrown system Must the Mobile system be implemented with Android and iOS apps, or is a mobile-responsive Web app acceptable? Android and iOS apps preferred.

Aside from Google G Suite, is the new system expected to interact or exchange data with any other system?

We do not anticipate this system interacting with any systems other than Google G Suite at this time.

What are the expected levels of integration and communication between the Space Reservation System and Google G Suite:

Google mail (Gmail) and Google calendar functions need to be integrated with the new system. See also answers to questions #6, 15 and 16.

Are all meetings scheduled within Google Calendar, and rooms and their associated facilities reserved within the new system?

The new system should be able to support room and other facilities' reservations when a meeting is scheduled in Google Calendar.

Is the system expected to update Google meetings with the room/space reserved automatically

It is highly preferrred to have scheduling functions work with Google calendar including updating of Google meetings when a room is reserved in the new system.

Is the Space Reservation system required to automatically update space/room bookings if meetings are modified within Google Calendar? See answer to questions #14, 15 and 16.

Notifications: what methods of notifications are expected to be supported (email, SMS, screen alerts, …)?

Yes. Email, SMS and preferably other modes of communications.

A tool is required for administrators to change the room inventory;

some rooms have mandatory resource requests which require users to submit their requested furniture set up, a/v requests, or other requirements.

We currently have 75-100 between 4 buildings. We anticipate this number growing with anticipated hybrid work. We do not foresee it exceeding 300 at this time.

(RE: General System Requirements #3) Is a web-based client that runs on a browser a hard requirement for the Museum, or would you consider a Windows client for the three super-users if the functionality fit your needs?

A web-based client that runs on a browser is a hard requirement for the new system. However, the Museum will consider a Windows client if it is required ONLY for a very limited number of super users' desktops for administrative purposes.

See answers to questions 6, 14, 15 and 16.
