About this file
This is Addendum 2 to RFP 8948-0-2020-TJ issued by the City of Madison, Wisconsin Finance Department Purchasing Services for Fleet Services Hydraulic Hoses, Fittings, and Tooling. The addendum addresses bidder questions and clarifies procurement specifications. The City clarified that vendor pre-contract visits are not necessary, with meetings to be scheduled with the selected vendor as needed. Historical usage is approximately $85,000 annually, though Fleet Services has existing stock to deplete before placing an initial order with the winning vendor. The City specified a preference for 1-piece fittings, with approximately 90% of stocked fittings being female rather than male. For the 2-inch and 2.5-inch return/suction hose sizes, fittings are not required and bidders should quote hoses only. Bidders must acknowledge receipt of this addendum on RFP Form B, Receipt Forms and Submittal Checklist.
Regarding tooling requirements, the City requested bidders present tooling options as they deem appropriate, including the option of providing one set of tooling (crimping tool, dies, and non-abrasive hose cutting tool) at no charge built into the initial hose and fitting purchase price, or alternatively as a tooling lease program option. The addendum does not specify contract term, pricing structure, or award dates. Bidders should direct questions to Andy Hargianto, City of Madison Purchasing Services, at 608-266-4523 or bids@cityofmadison.com.

RE: ADDENDUM 2
8948-0-2020-TJ
Fleet Services Hydraulic Hoses, Fittings, and Tooling
Notice to All Bidders:
Please note the following responses to the questions received:
1. Would the City be interested in a visit from vendors prior to a contract date?
Answer: No, this is not necessary. Meetings will be set up with the winning vendor if necessary.
2. What is your historical usage for hoses and fittings, what is your anticipated initial order and reorder schedule looking like for the next three years?
Answer: Please see the Usage Sheet that is added to Demandstar and Vendornet as supplemental information for this bid. Approximate usage is $85,000 per year, but there is stock currently that Fleet Services will be using up before placing the initial order with the winning vendor.
3. Is the preference for 1-piece or 2-piece fittings?
Answer: 1-piece fittings
4. Are all of the JIC fittings female, or are male needed as well?
Answer: 90% of fittings stocked at Fleet Services are female; very few male fittings get stocked.
5. Do you prefer that one set of tooling (crimping tool and dies, and non-abrasive hose cutting tool) be provided at no charge (built into the cost of the initial hose/fitting purchase)?
Answer: Bid it as you see fit
6. Would you be interested in a tooling lease program instead of an outright purchase?
Answer: Add it as an option to your bid.
***Also, on the 2” and 2-1/2” return/suction hose and fittings section, there are no fittings needed for either of these hose sizes; quote hoses only.
Bidders must acknowledge receipt of this addendum accordingly on RFP Form B, Receipt Forms and Submittal Checklist.
