About this file

This is an evaluation criteria document for an informal Request for Proposal (RFP) issued by Broward County Greater Fort Lauderdale Convention and Visitors Bureau for a Project Specialist position focused on United Kingdom and Ireland travel trade activities. The vendor shall identify a Project Specialist and key team members with relevant qualifications, resumes, licenses, and certifications, along with an organizational chart detailing managerial and staff structure. The scope encompasses coordinating multiple trade and promotional activities across both regions during the contract period, including activations with tour operators, participation in industry events (TravMedia's International Media Marketplace in March 2027, Virgin Fest in June 2027, Visit USA Roadshows in May 2027, and Ireland Red Cow Event in October 2026), client training through the Lauderdale Loyalist program, and attendance at the Visit Florida Annual Roadshow. The vendor must also develop and deliver quarterly research on outbound travel trends and semi-annual updates on top-producing tour operators, along with bespoke sales missions and a media/trade destination preview event. The contract period is not explicitly stated in this evaluation document, though referenced events span from October 2026 through September 2027.

The estimated contract budget is $99,900. Vendors must submit pricing exclusively through the BPRO electronic system by the specified closing date and time; pricing submitted through other means will render the vendor non-responsive. The evaluation criteria include assessment of personnel qualifications and relevant experience, detailed project approach and methodology, past performance on similar projects within the preceding three years with evidence of on-time and on-budget completion, current vendor workload and capacity to manage concurrent projects, and ability to meet project-specific time and budget requirements. Vendors must provide at least three references from within the last three years for similar work performed and should submit all available documentation, including optional items, to facilitate comprehensive review. All questions and clarifications must be submitted through BPRO during the specified questions period, and all solicitation responses must be received electronically through BPRO to constitute a valid submission.
