About this file

This document contains General Information Requirements for a bid solicitation by Snow College's Purchasing Department in the state of Utah. The document outlines comprehensive guidelines for suppliers bidding on a contract, detailing critical communication protocols, subcontractor management, insurance requirements, and bonding expectations. The procurement process emphasizes strict communication channels, with the Purchasing Department being the sole source of official bid information, and requiring suppliers to confirm any external communications before incorporating them into their bid responses.

The requirements mandate that suppliers maintain specific insurance coverages, including Commercial General Liability with $1,000,000 per occurrence and $2,000,000 aggregate limits, Business Automobile Liability, and Professional Liability insurance. Suppliers must submit insurance certificates to Snow College prior to contract commencement and name the college as an additional insured. The document also stipulates that suppliers using subcontractors must obtain prior approval, include subcontractor details in their proposal, and be responsible for bond pricing. Payment will be made upon project manager satisfaction and total project completion, with provisions that suppliers requiring money down or using subcontractors may be eliminated from the bid list or required to provide performance and payment bonds.

Such insurance polices shall be endorsed to be primary and not contributing to any insurance maintained by the University.

The Supplier shall maintain all employee related insurance, in the statutory amounts, such as unemployment compensation, worker's compensation, and employer's liability, for its employees or volunteers involved in performing services pursuant to the Contract. Supplier shall also maintain “all risk” property insurance at replacement cost applicable to Supplier’s property or its equipment.

The Supplier’s insurance carriers and policy provisions must be acceptable to the College’s Risk and Insurance Manager and remain in effect for the duration of the Contract/Project. Snow College shall be named as an additional insured on the Commercial General Liability insurance policy. Supplier will cause any of its subcontractors, who provide materials or perform services relative to this contract, to also maintain the insurance coverage and provisions listed above.

The Supplier shall submit certificates of insurance, as evidence of the above required coverage, to the College prior to the commencement of this Contract.
