About this file
This document is an addendum to Bid 59-P2389 issued by North Carolina A&T State University (NC A&T). The addendum announces that the bid opening date has been moved to September 23, 2024 at 3:00 PM. It also provides responses to additional questions received, including clarification that departments are open to new marketing technology tools, and that the option to exit the contract due to unmet enrollment targets applies only to the Graduate College portion. The addendum further notes that specific data points such as current program page bounce rates, lead volumes, and application/enrollment rates are not currently available but the university wants to track these metrics going forward.
The related state and local contract opportunity is for a digital marketing campaign and enrollment management services for NC A&T's undergraduate, graduate, and PhD programs, including online offerings. The primary objective is to enhance the university's digital presence and optimize admissions processes, particularly for its Historically Black College and University (HBCU) with over 14,000 students. The contract will require the successful vendor to demonstrate capabilities in areas such as multichannel communications, trackable metrics, and return-on-investment analysis.

Reference Vendor Question
Bonfire Portal Uploads There are duplicate file requirements (ex: 2 for Research and Analysis, etc.) in Bonfire, so what do we need to upload in the portal?
We typically include answers to all sections and the required forms in the Proposal upload in the required order as noted in 2.7, “Proposal Contents” – can we include all in one upload? No we would like information as requested.
Slate CRM (Specifically for Grad/PhD Programs)
A. We noticed that the tech stack question answer is in green only (for undergrad). Do all departments use Slate CRM, or is it just undergraduate programs? Any other information on marketing tech stack would be beneficial. Currently, the Graduate College uses Admission Pros.
However, the Graduate College plans to switch to Slate for within the next two years.
B. The graduate program listed a need for CRM and marketing automation, so are the departments open to new tools if they will increase efficiency and eliminate the challenges listed in the original Q+A? Also, do they want the vendor to utilize the tools, or do they want to handle those internally?
Departments and the Graduate College are open to new tools to increase efficiency and eliminate challenges. Additionally, while the Graduate College could request content from a vendor to be used in university tools, i.e., messaging used as a part of an email campaign, it does not intend for an external vendor to utilize university tools.
EXHIBIT A, Graduate and PhD Programs, “Digital Campaign” (p. 23)
The RFP mentions “Options to exit the contract immediately when enrollment targets are not met.” Is this just for the graduate school portion of the RFP? The option to exit the contract immediately when enrollment targets are no met does apply to the Graduate College.
EXHIBIT A, Graduate and PhD Programs, “Digital Campaign” (p. 25)
What is your current Program Page Bounce Rate? This data is not available.
EXHIBIT A, Graduate and PhD Programs, “Digital Campaign” (p. 25)
The RFP notes “Quality Leads for 32 Online Programs: 960 leads (30 leads per program).”
o In what time period? Does it have to be 30 per program, or could it even out if there is more interest in some programs? While we prefer 30 per program, having the total overall count is acceptable, mainly when there is more interest in specific programs.
What’s the current amount of leads and program distribution? Is this about a percentage growth or maintenance of current leads? This data is not available. We want to track these metrics in the future to ensure growth over time.
EXHIBIT A, Graduate and PhD Programs, “Digital Campaign” (p. 25)
What is your current lead to application rate? This data is not available.
EXHIBIT A, Graduate and PhD Programs, “Digital Campaign” (p. 25)
What is your current application to enrollment rate? It is below 50%.
Graduate Marketing Scope If we win the bid with multiple programs/colleges, will we have a different point of contact within each department, or is there one individual/team who will communicate with specific programs/ departments on our behalf? No, the Graduate College will be the primary point of contact. However, we can invite department administrators to the meetings from time to time.
EXHIBIT A, PhD Program for College of Agriculture, “Features / Deliverables” (p. 26)
Are you open to other channels that would be ideal for target audiences, or do you want to deploy LinkedIn only? Yes, the Graduate College is open to other channels.
