About this file
This document is an Addendum No. 1 for Invitation for Bid (IFB) 2000004202 issued by the Fairfax County Department of Procurement & Material Management in Virginia, soliciting bids for Exercise Equipment Accessories and Parts. The bid is due on October 1, 2025 at 11:00 AM, and the addendum provides clarifications and answers to potential bidders' questions. The solicitation covers exercise equipment from specific manufacturers listed on the Pricing Schedule, with vendors required to submit percentage discounts for various product categories and delivery options.
The addendum addresses key vendor inquiries, including restrictions on combining manufacturers like Matrix Fitness and Magnum, exclusion of certain brands like Nautilus, and guidance on MSRP pricing and sub-brand submissions. Vendors are instructed to provide percentage discounts by product category and are not required to submit MSRP for every individual product. The County will only accept bids from manufacturers listed on the Pricing Schedule and directs vendors with questions about business licensing to contact the Department of Tax Administration. Delivery options include Tailgate and Set-In-Place, with specific pricing and shipping requirements detailed in the Special Provisions sections of the original solicitation documents.

Addendum No. 1
ATTACHMENT 1
Q1. Where is the list of the specific equipment?
A1. The complete set of solicitation documents including the list of specific equipment are available on the Bonfire portal. All equipment is listed in the Pricing Schedule under “Requested Information” in Bonfire.
Q2. Are we permitted to list Matrix Fitness and Magnum together? Magnum is not a standalone brand but rather a product line under Matrix Fitness?
A2. No. While Magnum is a product line under Matrix Fitness, the Pricing Schedule lists Matrix
Fitness and Magnum under separate item descriptions for exercise equipment and accessories.
To ensure accurate evaluation and alignment with the County’s specifications, bidders must provide separate bids for Matrix Fitness and Magnum rather than combining them under one manufacturer.
Q3. Reviewing your Manufacture list I noticed you do not have Nautilus. They are part of Core Health and
Fitness (Star Trac, Stairmaster, Schwinn, and Nautilus. Did you want to include them? I also want to mention you list Octane Fitness, they were purchase by True Fitness some years ago and that brand is not just True Fitness?
A3. No. Nautilus products are not being solicited under this IFB and should not be included in vendor submissions. Although Octane Fitness has been acquired by True Fitness, the Pricing Schedule will remain unchanged, and Octane Fitness will continue to be listed as a separate manufacturer.
Bidders should submit percentage discounts for Octane Fitness as shown on the current schedule.
Q4. I see Two different delivery options, Tailgate and Set-In-Place. On the Bid Response Sheet, I see the
Set-In-Place Delivery pricing, but do not see an area to include the Tailgate option. The only pricing option I see is to offer a % off. Are we required to bid Volume pricing above $20,000 (set-in-place)? If no, where do we include the estimated shipping costs??
A4. Details on the two different delivery options and the requirements for each can be found in Section 6, Item 6.2 of the Special Provisions. Regarding shipping, please review Section 4, Item
4.1 of the Special Provisions.
Q5. Given the vast number of products we offer, are we required to submit MSRP pricing for every single product, or would it be acceptable to provide this information only for core or frequently purchased items?
A5. Vendors are not required to provide MSRP pricing for every individual product. Instead, vendors may provide percentage discounts off MSRP by product category (e.g., accessories, cardio equipment, strength equipment). For frequently purchased or core items, vendors are encouraged to provide specific MSRP pricing to assist the County in evaluating commonly procured equipment.
Q6. Appendix A: We are located out of state but have customers in Fairfax County. Could you please advise if obtaining a license in Fairfax County is a requirement for our work on this project?
A6. Questions concerning the BPOL Tax should be directed to the Department of Tax
Administration at (703) 222-8234 or by visiting:
https://www.fairfaxcounty.gov/taxes/business/understanding-bpol-tax.
Q7. Are you open to considering vendors that are not listed on the Pricing Schedule? If so, what is the process for submitting them if they are not listed on the Pricing Schedule as an option?
A7. No, The County will not accept vendors or manufacturers that are not listed on the Pricing
Schedule. Bidders must limit their submissions to the manufacturers provided.
Q8. Similar to the previous question, how should we handle sub-brands? For example, within a larger equipment manufacturer, there are sub brands owned by the larger manufacturer, that we would like to include.
A8. Sub-brand percentage discounts should be submitted under the line item, “Catalog Items not listed above” https://www.fairfaxcounty.gov/taxes/business/understanding-bpol-tax
