RFP 44DOC-S2619
RECORDS STORAGE
QUESTIONS AND ANSWERS
1. In section 3.1.1A, the requirement is to utilize a barcoding system to maintain an inventory of all individual inmate files. Is there an expected deadline for this individual cataloging to be complete and available for NDOC/OMD to audit?
While there is no hard deadline for the individual cataloging to be completed, a reasonable timeframe would be within 90 days.
2. In section 3.1.1A, the requirement is to barcode individual inmate's folders "during the file migration". Is it the intent that this can be accomplished upon receipt at the contractor's location or is it the intent that all files be tagged and inventoried at the NDOC storage location at Nevada State Prison prior to transfer?
The tagging of the files can be done at either the contractor’s location or at the NDOC’s storage location – whichever is more efficient for the contractor.
3. In section 3.1.1G, there is a requirement to move from the vendor’s storage facility to the Nevada State Library and Archives when inmates are discharged from their sentence or upon inmate’s death. Is it NDOC/OMD's expectation that this will occur in the same two (2) business day timeframe for standard records requests or is there additional time allowed for coordination and delivery?
There would be additional time allowed for coordination and delivery to the Nevada State Library and Archives. The NDOC would work with the Nevada State Library and Archives to determine a schedule that works for them, but would not hold the contractor to a two day delivery deadline.
