Questions and Answers for 36C26224Q0207 – VA Prescott Produce Requirement

1. Please confirm that orders are placed with a 24-hour lead time.

Answer: Orders will be placed in accordance with section 8 of the SOW as referenced in the RFQ on page 8. A cutoff time is identified in the same section of the SOW.

2. Given the Monday - Friday 6am - 7:30 pm delivery window, what is the cutoff time for next day delivery? (i.e. if orders are received by 12pm on September 1, they are delivered next business day between 6 am and 7:30 am)?

Answer: See SOW Section 8 a. for cutoff time of orders. Also see Section 4 SOW in RFQ (page 7) for correct delivery days/schedule.

3. Beyond being a refrigerated truck with specified temperature regulation, are there any other truck requirements? Is a semi or Bobtail ok for delivery? Is a lift gate required or is it a dock delivery?

Answer: Our deliveries are normally through semis and box trucks. We have a dock lift that help to unload trucks using electric pallet jacks and hand trucks.

4. How often does the produce have to be delivered?

Answer: See answer in Section 8 of SOW on page 8 of RFQ document S02 36C26224Q0207.

5. What does the units CT stand for?

Answer: CT stands for Cart.

6. In the list of items for the SOW, what is meant by Grape Tomato, 10 LB, BULK?

Answer: This means that the product is in a container able to provide 10 lbs of measurement. If it’s a bulk shipment it is standard and cannot be split into smaller sizes.

7. In the list of items for the SOW, what is meant by Grape Tomato, 12/1 PT?

Answer: These are a case of a dozen, 1 pint units.

8. Are there certain volumes that are needed for the weekly produce items?

Answer: See answer in Section 8 of SOW on page 8 of RFQ.

9. On the price list submission – prices need to be held for 30 days; after that will we be submitting pricing weekly to the facility?

Answer: Pricing for the quote shall be through the entire Period of Performance.

The 30 day reference in this question is related to how long the vendors quote is valid for. The quote shall have a validity of 30 days after the RFQ close date – for purposes of awarding.

10.Is there a site online where we complete this information, or do you want everything just emailed to you by solicitation end date?

Answer: See page 3 of document S03 36C26224Q0207_1 which was included in the SAM.gov posting of RFQ.

11.Is there an incumbent contract?

Answer: There is no incumbent contract for this requirement.

12. Is there a budget for this project?

Answer: Requested items and quantities are identified for this requirement on pages 13 – 22 of RFQ.

13. The Government is seeking Monday - Friday deliveries – are the quantities listed an estimated amount of what will be needed for the duration of the period of performance, or is it what will be ordered for each week?

Answer: They are quantities that will needed during the period of performance not each week.

14. How often per week will orders be placed for Los Angeles VA?

Answer: See Section of SOW on page of RFQ document S02 36C26224Q0207

15. How will offers be evaluated; how will a contractor be selected?

Answer: See RFQ document S02 36C26224Q0207 page 59 for clause at 52.212- 4 – Evaluation.

16. What is the difference between LB and LB Bulk?

Answer: Some items are available in split cases signifying cases or bags within a case that can be purchased on an each basis rather than a full case which provides us with better cost and inventory control. Some cases of items cannot be split so they would normally be a bulk sizing.

17. What is meant by 4x4 and 5x5 (i.e. Tomato 4x4 and Tomato 5x5)?

Answer: This is the size of a tomato in commercial practice. Rather than use small, medium, large. The measurement of 4x4 and 5x5 are meant to signify how many of a similar sized tomato can fit in a flat layer in a shipping box. The larger the number the smaller the tomato size.

18. Does the produce have to come from the state of AZ, or can it come from anywhere in the US?

Answer: Using local would be preferred but overall, we are needing consistent shipment deliveries of our product without issues and avoid missing product. If the vender is needing to use other US based resources then that is no problem.
