A.1 52.237-1 SITE VISIT (APR 1984)

Offerors or quoters are urged and expected to inspect the site where services are to be performed and to satisfy themselves regarding all general and local conditions that may affect the cost of contract performance, to the extent that the information is reasonably obtainable. In no event shall failure to inspect the site constitute grounds for a claim after contract award.

An optional site visit is now scheduled for Thursday, January 8th at 9:30AM PST.

If interested in attending the site visit, the company must email Jesse Wommack at

Jesse.Wommack@va.gov with the following information:

Please note that the site visit is weather permitting and as a result, access to some equipment (ie:

equipment located on roofs or outside) may be limited due to weather conditions. No blueprints/drawings/designs will be provided during the site visit. The site visit is intended to tour the facility and HVAC systems (when possible).

Ventilation System Testing and Balancing Services

1. The exhaust and supply fans are all listed, but they are listed by their designated names at the facilities, not by the make, model, serial number and manufacturer.

We need to know the make, model, serial number and manufacturer in order to know what the manufacturers’ inspection and test procedures are (CLINs XXX1 and XXX2 require this to be priced). Also, we need this information to look up the part numbers and prices for all of the belts for CLIN XXX3, since the government wants pricing in order to purchase the belts directly from my supplier and the maintain a proper list and inventory of required belts.

Would you please provide the noted information or tell me where I missed reading it?

a. The make, model, and serial number information for the HVAC ventilation systems are not available. However, maintenance requirements should be general across all makes and models. The statement of work outlines the required tasks and reports for the quarterly services.

Provided is the belt list for buildings 200, 203, 12 and 41 for the main campus. Please note that the VA does not buy the belts “directly from the vendor’s supplier.” We buy the belts from the vendor. It is the vendors responsibility to maintain and revise as necessary the belt inventory. They must provide us with a quote for the belt order so we can process the purchase card order and pay them for it. The belt purchase is not part of the resultant contract.

2. Please confirm whether the VA will be providing mechanical prints or equipment schedules for the units requiring services.

a. No mechanical prints or equipment schedules for the HVAC systems will be provided.

3. Can you please provide mechanical drawings so we can get the exact counts and information needed to properly balance the system?

a. No mechanical prints for the HVAC systems will be provided.
