1) If not on attachment A, we will need a picture of the system, model and serial numbers off of the control cabinets for three Medical Vacuum systems and two medical air systems.
Answer: Refer to report emailed to Marcus Sidney on 7/3/2023
2) [We plan] to meet the procedures recommended by the respective Original Equipment Manufacturer (OEM), NFPA99, and other applicable Federal, State, and local laws, regulation requirements with quarterly preventative maintenance visits utilizing OEM materials and procedures. Will this be fine, or was it the intention to have the provider come out at least once a month and provide monthly PM reports ?
Answer: Not once a month. If contractor includes quarterly visits, that’s fine, but currently, everything is setup as semi-annual, not monthly.
3). Within the scope it mentions "This agreement will also include area alarm panels and other fixtures associated with the delivery of medical gas in the hospital environment". Oftentimes, medical gas components can not be repaired and need to be replaced. For example, a scroll compressor that no longer produces air is normally not repaired, but replaced with a new unit. Another example would be an area alarm, older alarms often can not be repaired due to obsolete parts and need to be completely upgraded. Are all of these items intended to be covered under the single line item for each year or would we submit an estimate for all repairs / recommendations following an annual inspection or pm visit ?
Answer: The scope reads “maintain and repair government owned equipment listed in Attachment 1 “ and “This agreement will also include area alarm panels and other fixtures associated with the delivery of medical gas in the hospital environment.” If a replacement is required, a separate purchase order may be submitted. Key words are “maintenance and repair”.
4). In regards to the SOW, are you asking for us to include an annual inspection as well? Or only 12 monthly visits to do the PM’s and quote repairs needed from each visit?
Answer: Inspections (PM)s are semi-annual.
5). Is it possible to arrange a site visit at your earliest convenience?
Answer: A site visit would be fine and probably beneficial to both the Government and the Contractor. You may contact me Randall Brossett at (318) 483-5009 or email Randall.brossett@va.gov.
