About this file
This document is a Request for Proposal (RFP) 26-536 issued by Hudson Valley Community College (HVCC), a SUNY system community college located in Troy, New York. The RFP seeks a vendor to provide a voucher-based safety shoe program for approximately 114 employees in the Environmental Health and Safety (EHS) department. The contract will be in effect from November 1, 2025, to August 31, 2026, with options to extend for up to two additional one-year terms, potentially lasting until August 31, 2028. Vendors must provide safety shoes and boots meeting ASTM F2413-18a safety standards, with comprehensive size and width options for men and women, and must offer online and phone ordering with a 15-calendar-day pickup timeline.
The proposed program will reimburse employees up to $150.00 per pair of safety shoes, with employees responsible for any costs exceeding that amount. Vendor selection will be based on four key evaluation criteria: distance to HVCC's main campus (25 points), discount percentage off manufacturer's list price (50 points), online ordering capabilities (10 points), and product selection (15 points). The vendor must be located within a 30-mile radius of the main campus, demonstrate experience with similar safety footwear programs, have adequate inventory to meet size and style requirements, and provide a customer service team for support. Proposals must be submitted through the Bonfire online portal or mailed/hand-delivered to the Director of Procurement by the submission deadline.
