Digital Signs RFP - Advertisement for Bids

This is an Advertisement for Bids document issued by the State of Michigan for a Digital Signs project. The solicitation seeks proposals for the design, supply, installation, and maintenance of digital signage systems. The RFP invites qualified bidders to submit sealed bids in response to detailed specifications and requirements outlined in the procurement documents. Potential bidders are encouraged to attend a pre-bid conference to clarify project requirements and ask questions regarding the scope of work. All bid submissions must be received by the stated deadline, with awards anticipated following the evaluation and selection process. The contract term will be established upon award, with specific renewal options to be detailed in the final contract documents.

Pricing terms, payment schedules, and any applicable set-asides or preferences will be specified in the complete RFP documents. The funding source and budget allocation for this digital signage project will be detailed in the procurement package. Bidders should review all supporting exhibits, technical specifications, and addendums carefully to ensure full compliance with all stated requirements and conditions. Interested parties must obtain all necessary documentation from the issuing agency and adhere to all procedural requirements outlined in the solicitation to be considered for award.

SECTION 00 1000 - ADVERTISEMENT FOR BIDS

The ad for bid is self explanatory as far as completing it. These instructions are intended to “bridge the gap” between the ad and the office procedural information.

ADVERTISEMENT FOR BIDS

Deposit amount determination:

Determine an estimated number of drawings and specifications and contact the printing company for an estimated cost to us for their printing services for the drawings and specifications. (The intent of the deposit is to cover the printing costs if the drawings are not returned.)

Round up or down accordingly and indicate that amount on the Advertisement for Bids.

There should be a minimum charge of $100 per set.

Do not delete the requirement in the ad that the documents must be returned by a specific date.

Do not delete the requirement that a bid MUST be submitted in order to receive the deposit back.

Shipping cost determination:

Once the numbers of sheets have been determined check with Lee for an estimated charge for shipping costs.

Round up or down accordingly and indicate that amount on the Advertisement for Bids.

Complete the Advertisement for Bid and send to the Owner’s representative for review and approval.

WE DO NOT PLACE ADS FOR ANY PROJECT ON BEHALF OF THE OWNER.

Once the advertisement as been reviewed and approved by the owner’s representative print a copy and give it to Lee so she is aware of the project and can direct inquires appropriately. You should also let Lee know the estimated value of the project so she can field those inquires. This advertisement can also be sent to the plan rooms listed below to help alleviate inquiries.

It is our policy that ONLY General Contractors are allowed to pick up drawings from us. Please adhere to this policy.

It is the project manager’s responsibility to clean up the area where the drawings are stored after the bids have been received and the project awarded. Once the two week time period has elapsed for bidders to return their sets, offer all of the sets to the awarded contractor and give them a deadline to pick up the drawings.
