About this file
This document is a Request for Information (RFI) Log for the Spring Lake High School Media Center Renovations Furniture Package, managed by TMP Architecture Inc. The project involves a comprehensive furniture procurement and installation bid for the media center, with potential bidders required to submit complete proposals that include unit costs for furnishings, freight, delivery, installation, and potential storage costs. The RFI log contains three formal inquiries from potential vendors (The Moving Bros, Trellis, and Custer) dated between September 10-15, 2025, seeking clarification on various aspects of the bid requirements.
Key bid details include a requirement that all fabrics and COM (Customer's Own Material) must be fully approved and warranted with furniture, with specific guidance on fabric selections and grading. The bid package does not involve pre-purchased furniture, contrary to one vendor's initial assumption, and drop shipping is explicitly prohibited. The project involves detailed specifications for furniture items, including specific considerations for seating configurations and fabric selections. Vendors are expected to provide precise pricing and meet specific documentation requirements, with TMP Architecture reserving the right to select fabrics and make final determinations on product specifications after reviewing submitted bids.

Submitter Question Answer
1 9/10/2025 The Moving Bros
Before we submit our proposal, I wanted to confirm one detail to ensure we align our services correctly.
Our understanding is that all furniture has already been purchased by the district, and the awarded contractor’s role will be to receive, warehouse, deliver, and install the furniture during the week of March 23–27, 2026.
Could you please confirm if that interpretation is correct?
Please refer to the provided front-end documents, section 002113-F Instructions to Bidders, section 2 Bid Requirements, and section 3 Pricing.
The furnishings in this bid package have not been purchased yet. The current bid package in question is to purchase and install the new furniture. A complete bid must be submitted. All pricing is to include unit cost (of furnishings), freight, delivery, installation, and the cost of storage to be used in the event of a delay in the construction of the building including the cost for extra handling.
Drop shipping is unacceptable.

Hi Nicole – Hope you’re amidst a great week!
I saw TMP has put together a bid for furniture at the SLPS Media Center. Wondering if you’d be willing to give me a quick call.
Given we had to withdraw on the last response, I’d just like to learn a bit more about how the previous project unfolded and how that may affect decision making for this project. We’d love to submit a response but want to make sure it’s a good use of our resources.
Please refer to the posted front end documents. The previous issue is how the category totals were handled which made it complicated to compare and the submission didn’t follow our front end documents.
A complete bid must be submitted. All pricing is to include unit cost (of furnishings), freight, delivery, installation, and the cost of storage to be used in the event of a delay in the construction of the building including the cost for extra handling. Drop shipping is unacceptable.

1.)The bid documents mention that “all fabrics & COM must be entirely approved and warranted with furniture.” Does this apply to alternates as well? We’re particularly looking at Items C4a, C5, C8a, and F1a, which references a Haworth fabric ("Blanket - Firewheel") that we can’t access. Would you consider reselecting this fabric to an open line so we can explore alternate manufacturer options?
Side note: When using COM, the warranty is split—fabric is covered by the mill, and furniture construction/workmanship by the manufacturer. So C9b for example, the Carnegie as the COM has a 5 year warranty.
2.)For Items D4 & D5, there are two base options. Based on your drawing’s configuration, would you prefer rigid plates and sleds for each unit (in case they’ll be moved, image one), or a “seat-to-seat” setup with shared bases (image two)?
1.) The furniture dealer should provide pricing for a graded-in fabric. The specified Haworth fabric is Grade A through Haworth, so please provide pricing for a graded-in fabric for the product you’re specifying that TMP can select once reviewing bids, up to Grade C.
2.) For items D4 and D5, we will update in addendum no. 1, dated 9/19/2025. We prefer a seat-to-seat setup with shared bases (image no. two)
