About this file

This is an Invitation to Bid (ITB) No. 24-8248 from the Collier County Board of County Commissioners in Florida, specifically through the Procurement Services Division and Parks and Recreation Division. The solicitation seeks multiple contractors to provide preventative maintenance, repairs, and restoration services for pumps and ancillary equipment at seven aquatic facilities throughout Collier County. The contract is intended to be awarded to three vendors (primary, secondary, and tertiary) for an initial three-year term with two potential one-year renewal options. A pre-bid meeting is scheduled for May 7, 2024, at 2:00 PM EST at North Collier Regional Park, with bid submissions due by May 27, 2024, at 3:00 PM EST through the county's online bidding system.

The solicitation specifies detailed service requirements, including twice-yearly preventative maintenance at each location, urgent repair response within four hours, and comprehensive maintenance tasks such as equipment inspections, lubrication, and calibration. Historically, county departments have spent approximately $200,000 annually on similar services, though this may not predict future spending. The contract prohibits additional surcharges and requires contractors to have a minimum of three years of commercial experience working on pumps from five to one hundred fifty horsepower. Billing will be based on hourly rates with specific markup limitations (10% for materials/rental equipment, 15% for subcontractors), and all invoices must include detailed service documentation and a preventative maintenance checklist.
