About this file
This is a Request for Proposal (RFP) document from Hutto Independent School District (Hutto ISD) in Texas for solicitation #21-08-01(C) seeking qualified vendors to provide screen-printing, embroidery, laser, heat press, and sublimated printing services on clothing, accessories, and promotional items. The district serves approximately 11,000 students across multiple campuses including one high school, one ninth grade center, three middle schools, seven elementary schools, and various administrative facilities in the fast-growing Central Texas community near Austin. This is a re-opening of a previous solicitation, and vendors previously approved under RFP #21-08-01 in 2021 and #21-08-01(B) in 2022 do not need to re-apply. The RFP was posted on August 17, 2025, with vendor questions due by August 27, 2025, and proposals due by September 3, 2025. The contract term will be effective from the date of approval through September 30, 2027, representing a multi-award opportunity with no guarantee of purchase volumes.
The district will evaluate proposals based on price (percent discount offered), vendor reputation, quality of goods and services, extent to which offerings meet district needs, and past relationships with Hutto ISD. Vendors must provide a percent discount (zero is acceptable) and may optionally submit catalogs. All printing and embroidery work must be 100% washable with permanent processes, and vendors must guarantee replacement of defective items. Pricing must include all shipping and delivery charges to Hutto, Texas. As a governmental entity, Hutto ISD is exempt from most taxes and prefers paperless invoice payments via credit card without processing fees. Individual schools and departments will select vendors from the approved list and may negotiate specific terms for individual transactions, making this a non-exclusive arrangement where the district reserves the right to purchase from other sources when deemed necessary.
