About this file

This is Addendum #1 to a Request for Proposal issued by the City of Wichita, Kansas Parks & Recreation Department for concession services at athletic fields. The City seeks qualified vendors to operate concession stands at two locations: South Lakes Sports Complex (5300 S. Meridian Ave) and Planeview Park (2819 S. Fees St.). The RFP addresses concession operations for athletic activities occurring approximately from the first week of March through the first week of November, with specific operating schedules to be provided to the selected concessionaire(s). Site visits were scheduled for Thursday, September 24, 2026, at 2:30 p.m. at South Lakes Sports Complex and 4:00 p.m. at Planeview Park. The proposal due date is Friday, October 2, 2026, at 10:00 a.m., and vendors must electronically acknowledge receipt of this addendum through the City's Procurement Portal.

The City does not maintain a prescribed menu and encourages proposers to recommend appropriate menu items and pricing subject to City approval. Historical revenue data indicates limited concession activity, with the City receiving annual revenue of $9,284.31 in 2024, $795.61 in 2025, and $97.28 year-to-date in 2026; these figures represent only the City's share of gross sales from third-party vendors and should not be interpreted as guarantees of future revenue. The South Lakes Sports Complex concession stand is air-conditioned with existing equipment including one ice machine and freezers, while the Planeview Park stand is enclosed but not air-conditioned with beverage refrigerators at both locations. Proposers are encouraged to identify any additional equipment needed for their proposed operations during site visits.

ADDENDUM NO. 1

TO

PARK & RECREATION DEPARTMENT

Concessions at Athletic Fields

RFP No. 260056

(OCTOBER 2, 2026)

The Scope of Services are hereby amended in the following particulars only. All other terms and conditions remain unchanged.

The following changes and additions shall be made to the plans and proposal.

Statements and Questions in bold. Answers are italicized.

1) Can you provide month revenue for each site location in 2025 and 2026?

The City does not track concession revenue by individual site location and therefore cannot provide monthly revenue by location. The City can provide annual revenue recorded to the City's athletic concessions account for 2024, 2025, and 2026. These figures represent revenue received by the City and do not represent total gross concession sales. Concessions were operated by third-party vendors;

the City received only an agreed-upon percentage of gross sales, which varied by vendor.

Concession stands were not regularly operated during portions of 2025 and 2026; therefore, those years may not be representative of typical concession activity. For additional context, 2024 revenue is also provided below.

2024: $9,284.31 2025: $795.61

2026 YTD: $97.28

Historical figures are provided for informational purposes only and should not be interpreted as a representation or guarantee of future concession sales or revenue.

2) Are all the stands open air, or are the air conditioned?

The concession stand at South Lakes Sports Complex is air conditioned. The concession stand at Planeview Park is enclosed but not air conditioned.

3) What dates do the concessions open and close?

Operating dates vary by season, league enrollment, tournament schedules, and other programming.

Athletic activities typically occur from approximately the first week of March through the first week of November, with slow-pitch and fast-pitch tournaments occurring within that general timeframe. Specific operating schedules will be provided to the selected concessionaire(s) as described in the solicitation.

4) Do you have a current menu for both locations?

The City does not maintain a prescribed menu for either location. Historically, concession offerings have included typical ballpark items such as hot dogs, chips, candy, and bottled beverages. Proposers are encouraged to recommend their own menu and product offerings appropriate for the anticipated activities and should include proposed items and pricing as requested in the solicitation. All products sold will be subject to City approval.

5) Is it possible for a site visit at these locations?

Yes. The City will make the concession facilities available for site visits at the following times:

‒ South Lakes Sports Complex, located at 5300 S. Meridian Ave, Wichita, KS 67217 –

Thursday, September 24, 2026, at 2:30pm; and ‒ Planeview Park, located at 2819 S. Fees St., Wichita, KS 67210 – Thursday, September 24, 2026, at 4:00pm.

6) What equipment, if any, is in each location?

Existing equipment includes one (1) ice machine and freezers at the South Lakes Sports Complex concession stand and beverage refrigerators at both locations. Proposers are encouraged to attend the site visit referenced above to inspect the available facilities and equipment and should identify any additional equipment they anticipate needing to provide for their proposed operations.

This Addendum is hereby made a part of the solicitation to the same extent as though contained in the original documents and all itemized listings thereof.

Acknowledge receipt of this Addendum electronically via City's Procurement Portal as a part of submission completion.
