SITE-VISIT MEETING MINUTES

II. Purpose of Site Visit:

Familiarize the contractor with the unique circumstances and requirements surrounding a correc�onal se�ng. This visit is also to explain the solicita�on, as issued, and not to furnish addi�onal informa�on.

State - nothing said during the visit shall be interpreted as a change to the solicita�on without the issuance of a formal amendment through the Supervisory Contract Specialist, Nicasio Garcia.

III. MINUTES:

Minutes will be recorded and distributed via www.sam.gov.

IV. SITE VISIT INFORMATION:

Walk to selected site for Boiler Replacement immediately following introduc�ons. The tour was greeted with a reminder that any ques�ons posed throughout the visit needed to be addressed via amendment to solicita�on, to allow all poten�al bidders availability of the ques�ons and answers.

V. General Topics:

• Work Hours: Work Hours for the contractor are 7:30 AM – 2:30 PM, Monday - Friday, excluding weekends and federal holidays. It shall be the responsibility of the Contractor to familiarize himself, his employees, and his subcontractors of the working hours and condi�ons in the correc�onal facility, as working hours may not cons�tute a full eight-hour workday.

• Ques�ons: Oral ques�ons asked at Site Visit of a technical nature are not acceptable due to the possibility of misunderstanding or misinterpreta�on. All ques�ons shall be sent via email to Nicasio Garcia, Supervisory Contract Specialist. To provide sufficient response �me prior to the bid due date, the Government has establishing that ques�ons be submited no later than March 29, 2024.

• Storage of Materials: All construc�on materials/tools shall be stored in a designated area mutually agreed upon between the COR and the contractor.

• Tool Accountability: Strict accountability and control of all contractor tools and hazardous materials must be always maintained. All contractor tools to be used inside the secure perimeter must be inventoried and accounted for at the conclusion of the workday. Contractor tools may not be stored on-site overnight. The contractor should provide for enough �me at the conclusion of the workday for the return and accoun�ng of all tools issued during the workday.

Lost or missing tools must be reported to the COR the Captain immediately.

• Addi�onal Considera�ons: Contractors will NOT be allowed to bring cell phones.
